I have multiple customers showing sales that never happened totalling several thousand dollars. How do I get rid of these and where did they come from?

I have multiple customers showing sales that never happened totalling several thousand dollars. How do I get rid of these and where did they come from?

I can help you remove the unknown sales transactions and see where they come from, @userdonerightlawncar.

 

Before deleting the sales transactions, let's track who made this record by using the Audit log tool.

 

Here's how:

  1. Go to the Gear icon on the upper right panel.
  2. Select Audit log below Tools.
  3. Click the Filter button and then use these modifications:
    User: All users;
    Date: All dates;
    Events: Show all events.
  4. Hit Apply.

 

Once done, you'll want to see who logged in and created the sales transactions.

 

For the sales transactions to be removed, you can delete each of them individually by following these steps:

 

  1. From the left pane, go to Sales and then select the All Sales tab.
  2. Find the transaction in question and then click the Triangle ▼ button from the Action column.
  3. Choose Delete.
  4. Select Yes to confirm.

Just in case you accidentally deleted transactions you made, simply go back to the Audit log to and then click View. From there, take note of the transaction details and then recreate them manually. See this article: Use the audit log to re-enter deleted transactions.

Let’s run the Transaction List by Customer Report to see all your sales transactions. From there, edit or delete the ones in question to keep your records correct.


I’ll help show the steps to build the report. Here’s how:

 

  1. Press the Reports menu on the left panel and enter Transaction List by Customer in the search box.
  2. Click the Report period drop-down to set the correct date range.
  3. Hit the Customize button to open the Customize report screen.
  4. From there, tap the Filter link.
  5. Tick the Transaction Type box and select Invoice, Sales Receipt, and other sales entries.trnx rep.png
  6. Mark the box for Customer and choose the clients’ name you’re working on.
  7. Click the Run report button to apply the customization.
