I have printed W9's from all my former contractors. Can I scan them into Quickbooks? I don't think I'll be able to get them all to log in and fill out new ones.

Scanning printed W9 forms could streamline your process and save you some valuable time, info2058. However, this feature isn't available in QuickBooks Online (QBO).

 

You have two options to consider. It's either entering them into the system manually, or you could have your contractors fill-out the forms for you by inviting them.

 

Here's how to invite your contractor:

 

  1. Navigate to the Payroll tab and select Contractors.
  2. Click Add contractor.
  3. Fill in the contractor’s name and email in the designated fields, then hit Add contractor.

 

An email will be sent to your contractor instantly. Their profile will be saved under both the Contractors tab and the Vendors tab. You can refer to this article for detailed guide: Invite a contractor to add their own tax info
