I need a deposit detail report that includes check numbers

Using the "Deposit Detail" as my starting point, I would like to see customer check numbers appear for any deposit made during the filtered time period. I cannot find any of the available columns under Customize report>Display that include Check Number. When I make my deposits (Banking>Make deposits) one of the fields is CHK NO., but this does not appear in the available columns.

Thank you for your help. I've followed your instructions and the Num field is visible on my report. Unfortunately, there is no data in the column. Please see attached Deposit Detail report.

I need a deposit detail report that includes check numbers

Hello there. You're on the right track in including check numbers on your Deposit Detail report, @tlyoung99

Let's utilize the Rebuild Data tool so you can resolve any data issues with your company file in QuickBooks Desktop (QBDT) and manage your deposit transactions accordingly.

Based on your description and attached screenshot, you may have a minor data issue with your company file. With this, I'd recommend utilizing the Rebuild Data tool. It's a built-in tool that can help automatically fix data issues with your company file. To do this, here's how:

  1. Go to the File menu.
  2. Select Utilities, then choose Rebuild Data.
  3. On the QuickBooks Information window, select OK. Follow the onscreen steps to save a backup.
  4. Let the tool repair your file. It may take some time.
  5. When the tool finishes, select OK.
  6. Go to the File menu.
  7. Select Utilities, then choose Verify Data.
  8. Let the tool check your file for data issues.

In case the issue persists, continue performing the recommended solutions in this article, starting with Solution 2Fix data damage on your QuickBooks Desktop company file.

On the other hand, you'll also want to ensure your QBDT software is updated to the latest release. This way, we can guarantee the program is running with the newest fixes and patches.

Also, you may want to check out this article as your reference to learn more about how QuickBooks generates reports and see the complete list of available ones in QBDT: Understand reports.

Please feel free to leave a comment below if you have other reporting concerns or questions about managing transactions in QBDT. I'm always ready to help. Take care, and I wish you continued success, @tlyoung99

I need a deposit detail report that includes check numbers

@Rea_M, I have followed all of the steps you provided, including Solution 2 (Rebuild Data tool and Quickbooks File Doctor). No problems are ever detected with my data, so there is nothing to repair. I have updated to the latest version (R12_7) and the issue still persists. Any other ideas or next steps to resolving my issue?

I need a deposit detail report that includes check numbers

Hi there, tlyoung99.

I appreciate you for coming back to the thread to add extra details about your concern and for performing troubleshooting steps to resolve the issue. I'll be sharing clarification on how the check number works in the deposit and on the other transaction. Also. I'll ensure you can accomplish your goal by conducting the alternative instructions below.

When you manually made the deposit and enter the number on the CHK NO. field, it won't appear on the Deposit Detail report. That is the reason why there is no data on the Num field or it's visible on the said report.

Furthermore, the numbers that appear in the Num column on the said report or in the screenshot shared above usually come from the assigned check number when the customer payment is made. If you manually receive customer payment, enter a check number, and make a deposit, it will appear on the Deposit Detail report. I attached screenshots below for visual reference.

However, if you want to see the check number assigned from a deposit entry that you manually entered, I recommend running and customizing the Profit and Loss Detail report. This way, you're able to see detailed information about the transaction.

Here's how:

  1. Click the Reports menu at the top.
  2. Choose Company & Financial and select Profit and Loss Detail.
  3. Click the Customize Report button. Then, go to the Display section and choose Type.
  4. Click the Filters button and choose Transaction Type on the search field. Then, select Deposit in the drop-down.
  5. Click OK.

Lastly, you may refer to this article to see steps on how you can memorize reports in QuickBooks so the same settings of the customized report will be available for future use: Create, access and modify memorized reports.

Don't hesitate to reply below if you still have other concerns related to the check number. I'm always here to help, tlyoung99. Have a great day!
