Inventory OH and Quick Report not matching

Under our inventory item list a part shows 21k OH.

When we run the Inventory Item Quick Report, the OH shows 5,600.

A receiving we did yesterday is not showing up on the report, part ordered, paid by check.

All other receiving's are showing for the year.

Inventory OH and Quick Report not matching

QB listing can be weird at times, give it a minute or two and if it still does not update, close and reopen QB

Also check the dates too, set the quick report to ALL dates and refresh

Inventory OH and Quick Report not matching

I'm pleased to have you here in the Community today, @ConfusedGuy. I'd be glad to provide information about why OH, and the Quick report doesn't match sometimes.

If you have a specific number of items in your inventory, you'll also have to adjust the scope of the report you're going to generate for them to match with your inventory numbers. To have the correct figures appear in your report, set the reporting period to All Dates.

Other possible reasons why you're on hand inventory doesn't match your Quick report Data:

  • Non-posting transactions are listed on the Quick Report.
  • Transaction include different unites of measure.

You can also utilize the Filter feature when running a report to avoid these situations.

Additionally, I've got you these handy articles for future reference:

I'd like you to know that you can always get back to me if you need further assistance matching your on-hand inventory numbers to your Quick report. I'll keep an eye on your response. Keep safe, and have a great day!

Inventory OH and Quick Report not matching

I checked filters and didn't see anything that looked wrong.

I see my other item receipts, bills and assemblies just not this receiving.

Is there a way to actually FIX this?  I change the dates to all and it matches but when I exit out and then go back to the quick report the wrong amount shows again.

Inventory OH and Quick Report not matching

Hi, @PML1963.

I'm here to help ensure this is taken care of for you.

Since the issue persists after you can try performing the Verify and Rebuild utility tool, I highly suggest contacting our Support team. They have tools such as screen-sharing (remote access) that pull up your account in a secure environment and check the cause of this issue. They can also perform other troubleshooting steps if necessary.

Here's how to reach them:

  1. In QuickBooks Desktop (QBDT), go to Help menu at the top, then select QuickBooks Desktop Help.
  2. Click Contact Us.
  3. Give a brief description of your issue, then tick Let's talk.
  4. Choose a way to connect.

To see our Support hours, please refer to this article: Contact QuickBooks Desktop support.

In QBDT, reports are based on a set of instructions known as a Report set. With this, information is extracted from the data file and shown as a set of transaction lines. To learn more about this, kindly check out this article: Understand reports.

For more tips and other resources, I recommend visiting our website for future reference: Self-help articles.

Please let me know if you have additional questions about reports or anything else QuickBooks. I'll be here to assist. Take care.

Inventory OH and Quick Report not matching

I am having this same issue. I believe it has to do with the user rights assigned to certain users. As the admin my Inventory Item QuickReport matches the on hand amount show on the report however another user with more limited access cannot see the check transaction detail in the Inventory Item QuickReport. Anyone what access feature would allow a user to see all of the transactions included in this report?

Thank you.

I'll guide how you can customize your user's access rights to see the transactions on the Inventory Item Quickreport, CRBSupply.

Yes, you're right. A user is dependent on the level of access rights granted by the administrator. You can view all roles and their permissions using the Permission Access by Roles report to determine the access that you allow to this particular user. To do so, follow the steps provided below:

  1. Go to the Company menu, then select Users.
  2. Select Set Up Users and Roles.
  3. Enter the admin password, then select OK.
  4. Select the Role List tab, then select View Permissions.
  5. Select the roles you want to review, then select Display.

Once done, make the necessary changes for the user to see those transactions. However, if you haven't set up a predefined role for this user, you can create one. Here's how:

  1. Go to the Company menu, then select Users.
  2. Select Set Up Users and Roles.
  3. Enter the admin password, then select OK.
  4. Select the Role List tab.
  5. Choose t a role, then Edit to review its permissions.
  6. In the Area and Activities section, select an area of your accounts. Select None, Full, or Partial to set the access level.
  7. Once you set the permissions, click OK to save.

To give you more details when adding a user and specific role, I've got this article for reference: Create and Manage Users and Roles in QuickBooks Desktop.

Moreover, read this to learn how to record an adjustment to keep track of inventory status in QuickBooks. See this article for additional information:  Adjust Your Inventory Quantity or Value in QuickBooks Desktop.
