Is anyone using QBO Projects and not creating the invoice in OBO projects? Our organization imports the invoice; only ability at this time is to a customer.

We are able to bring all expenses to the Project because there is the Customer/Project selection which is not available with the imported invoice.

In QuickBooks Online, we can add the new invoices directly to your project. Adding transactions to projects won’t change how they’re categorized or affect your accounts. You’ll just mark them as a part of the project so you can track a specific project’s income and expenses. There are two ways to add new transactions. We can create the transaction in QuickBooks as you normally would. Just enter the project name in the Customer/Project dropdown. We can also create a new transaction from within projects. Here's how: 

  1. Go to Business overview and select Projects.
  2. Select your project.
  3. Tap Add to project to create a new transaction.
  4. Select InvoiceReceive PaymentExpenseEstimateTime, or Bill.
  5. Fill out details for the transaction like you normally would.
  6. Press Save and close.

 

If you need to add existing invoices to your project - especially ones linked to a payment, it requires a little caution before you edit them. Here’s an article you can refer to on how to add existing invoices to your project. Thank you for your responses.  My problem is the invoice is created in another software program that does not come in to QBO with the opportunity to choose customer/project. My work around is classes set up as the project.  But would like to have everything tracked in Projects.

Classes functionality will work on handling project invoices, @lkoronowski-kitc. Aside from that, I have suggestions to achieve your task. 

 

I'm happy to help you with how to bring your invoices to your QuickBooks Online account. This way, you can manage them without a moment's delay. 

 

I'd recommend contacting your old software support and asking if they have availability to add a Project field. If they don't have an alternative, I'd suggest utilizing a third-party app or manually entering them in QBO as my colleague mentioned above. 

 

Here's how to look for an application that is compatible with QBO: 

 

  1. Go to the apps.intuit.com and choose your country in the drop-down. 
  2. Locate an appropriate app in the list. 
  3. Follow the on-screen instructions. 

 

For classes, you'll need to turn on the feature first to use this. Let me show you how: 

 

  1. Go to the Gear icon on the upper right side. 
  2. Select the Account and Settings tab. 
  3. Choose Advanced, then turn on the radio button in the Categories section. 
  4. Click Save, then Done.  

 

After that, let's create a classes list by following the steps below: 

 

  1. Select the Gear icon again and select All Lists
  2. Choose Classes and hit New
  3. Enter a Name and click Save.

Once done, you can manually add the invoices and link them to classes. Then run a Project Profitability report to supervise your transactions. See the screenshot for more details:

I got around this by assigning the "Received From" and "Customer/Project" drop downs to the project name. Hope this helps! I had the same frustration.

Are you importing using a CVS file?  If so, what is the name in your HEADER?

I am new to QBO, merged data from desktop version. I want to edit email addresses for some of my projects, I dont see a place to do it. When I edit the project info I can only edit the name, start and end date. I need to edit other info.

No one should use the projects feature in QBO, it doesn't work and has not worked since it was added. No project details(PO#, Job Name, etc) are automatically added to invoices. You must manually add that info to each invoice you create. Also, you cannot have different email addresses for different projects. Instead of fixing the problems, they change report layouts and force them on users.
