Is there a way of matching square sales receipts to imported invoices in quickbooks so that sales are not duplicated.

I have imported invoices from an auotmotive shop management software that has options and features not availible thru quickbooks or square. Those options and features reduce data entry to almost nothing, so using invoicing in sqaure or quickbooks is not an option. Is there any way in quickbooks to match the payments received thru square to sales imported from that software.

I'm here to provide insights and get you back on the right track. 

 

Connecting your Square to QuickBooks Online (QBO) automatically downloads your transactions. The system imports them as invoices and payments. All you have to do is to review and ensure it matches your record.

 

If there are duplicates, I recommend deleting them to avoid doubling your income. I'll show you how: 

 

  1. Go to the Banking or Transactions menu.
  2. Select the Banking tab and select your Square account.
  3. Click the For review tab and select the checkbox of the transactions you want to exclude.
  4. Select Exclude.
  5. Repeat the process for the other transactions.

I also recommend checking with your accountant to prevent messing up your records. In case you've recorded the transactions in your QBO, you'll want to match them to avoid any discrepancies. 


Also, QBO is dependent on the information provided by your bank. I propose reaching out to Square support team and check if there's any way to prevent uploading the same transactions. I'm not sure you understood my question, I'm trying to match an accepted square sales receipt to an invoice in quickbooks so I don't have to delete or exclude one or the other as the invoice has both taxable and non-taxable items on it and the square transaction has the transaction fees.

Let me provide you with some details when matching square transactions with your invoices, crowesmobile.

 

May I know if you're trying to match imported invoices to your square fees? If so, you'll have the option to add a bank fee while you're on the bank deposit window. To do so, you can follow the steps below:

 

  1. Scroll down to the Add funds to this deposit section.
  2. Enter the fee as a line item.
  3. Select who the fee was from (for example, the bank charging you).
  4. Select Bank Charges from the Account ▼ dropdown.
  5. If the fee is being deducted, enter the amount fee as a negative number. For example, if the fee was US $.50, enter –.50.
  6. Review the deposit total with the bank fee.
  7. Select Save and close or Save and new.
