Is there a way to track hours on customer estimates/progress invoicing?

We create an estimate for a flat fee based on a specific number of hours for a service. We create an invoice for 50% of the estimate and would like to be able to track when we have reached the estimated hours. Any suggestions?

Is there a way to track hours on customer estimates/progress invoicing?

Thank you for the time posting here in the Community, @clarke01.

Yes, we have an option to track the hours of your customers in QuickBooks Online(QBO). Let's turn on first the time tracking feature in your account. Let me walk you through on how to set up the time tracking:

1.    From the Settings, select Account and Settings under Your Company.

2.    Choose Advanced, then click the Pencil icon beside Time Tracking.

3.    Put a check-mark in Add Service field to timesheets and Make Single-Time Activity Billable to Customer.

4.    From the First day of the workweek, drop-down arrow select Monday, then hit Save.

5.    Tap Done.

Here’s how to enter the hours of your customer using timesheets:

1.   Go to the Plus icon, click Weekly Timesheets under Employees.

2.   From the Name ▼ drop-down, choose the name of the supplier.

3.   From the Date ▼, select the week, which you want to record activities.

4.   Choose a Customer name, the service worked on, and the description.

5.   Complete the rest of the fields.

6.   Hit Save.

Is there a way to track hours on customer estimates/progress invoicing?

Thanks for your help. I was hoping for a balance /total of hours on the invoice but I don't see any way to do this!

Is there a way to track hours on customer estimates/progress invoicing?

Hi there, clarke01.

Currently, QuickBooks doesn't let you track the balance or the total number of hours on the invoice.

For now, you can create an invoice and use Hours as the product item. Enter the number of hours in the Qty column and the hourly rate under the Rate section. You can also use the Message on the invoice box to put the balance /total of hours. This way your clients can view the remaining hours associated with the invoice.

Here's how:

  1. Click the Plus icon at the upper right corner.
  2. Select a customer.
  3. Choose the Product/Services column, select Hours.
  4. From the Qty column, enter the number of hours.
  5. In the Rate section, put the hourly rate.
  6. In the Message on the invoice box, put the balance /total of hours.
  7. Enter the necessary fields.
  8. Click the Save and Close button.

Please check this article on how to set up and print messages on the statement: How to set up or change customer messages.
