Is there way to customize the look of a statement?

Thank you for reaching out here in the Community, rdneuberger. Let me share some information about customer statements in QuickBooks Online (QBO).

 

As of today, we don't have the option to customize the customer's statement yet. However, I can provide you with some other options that you can consider to show your needed data.

 

We have three options to create a customer statement in QBO as listed below:

  • Balance Forward: shows the total amount due and any credit balance from the last invoice.
  • Open Item: lists all open, unpaid invoices from the last 365 days.
  • Transaction Statement: Lists all transactions for the selected date range.

 

After identifying what kind of statement you need, we can now create the statement for your customer.

 

Here's how:

  1. On the Sales tab, click Customers.
  2. Find the customer and select the checkbox for the customer you want to make the statements for.
  3. In the Batch actions dropdown ▼, choose Create statements.
  4. In the Statement Type dropdown ▼, select the customer statement type: Balance ForwardOpen Item, or Transaction Statement.
  5. Choose the date range from the Date ▼ dropdown.
  6. Review the customer's email address(es).
  7. Press SaveSave and closeSave and send, or Print or Preview.

 

Moreover, you can also create and send purchase orders in QuickBooks Online whenever you're ready to buy products from your vendors.

Why is there not a "due date" on the statement? 

Will there be an option to customize the statement layout sometime in the future?

Also- I am using Quickbooks Online.

Currently, customizing the statement layout isn't possible in QuickBooks Online. We know how this would be beneficial on your end.

 

However, you can look for a third-party app that can edit the layout of your statements before sending them.

 

In the meantime, I recommend submitting direct feedback to our Product Engineers, They might add the feature to customize statements to our future product updates. Here's how:

 

  1. Select Settings ⚙, then Feedback.
  2. Enter your comments or product suggestions. Then select Next to submit feedback.

Can you add a custom field to a Statement? We have a custom field on Invoices that we would like to also be on statements.

It's only available to the invoices, sales receipts, refund receipts, estimates, credit memos, and purchase orders in QuickBooks Online. You can remove the invoice description from the customer statement by downloading the statement as a PDF file (.pdf), converting it into a Word document (.docx), and manually editing it to include only the details you want your customer to see. After making your desired changes, save the document back as a PDF file (.pdf).

At this time, QuickBooks Online (QBO) doesn't have the option to directly remove descriptions from the statement.

 

If you're looking for a more streamlined conversion process, consider exploring third-party file converter apps available through QBO. Here’s how you can find them:

 

  1. Navigate to the Apps menu and open the Find apps tab.
  2. Enter any keyword in the search field or use the Browse categories to explore your options.

 

 

Additionally, there are various file converter tools available online that might suit your needs.

Is there any way that you can have the PO Number on the statement, its a nightmare trying to tally things up going backwards and forwards rather than just having all their information on the statement?

Currently, the option to include the PO number on statements in QuickBooks Online (QBO) is unavailable. Let's work together to an alternative way of achieving this.

 

You can utilize the Print or Preview feature in QBO, download the statement, and edit it via the PDF editor app for you to add the PO number on the statement. Here's how:

 

  1. Go to Customers & leads under the Menu tab.
  2. Choose the customer in question and click the dropdown menu under the Action column.
  3. Select Create statement, tick the box, and click Print or Preview.
  4. Download the file.

From there, you can edit the file via the PDF editor app and manually insert the PO number.

  1. On the upper right corner, click the Gear icon.
