Lawyer - Holding Trust Money for Clients

I am setting up QBO for a lawyer.  Client give him money to hold in Trust account.  He then pays money out on behalf of client & then any money left at the end of the transaction gets returned.  I have this all in a liability account & can print a report totaled by customer.  How do I show a report ONLY of the clients who still have money by him?  I don't want to print report of all the old back & forth transactions that net to zero.  Any advice?

Hi there, @DR3786. I'm here to ensure you'll get the report you need.

In QuickBooks Online (QBO), you can run a quick report for the liability account and filter it to those clients who still have money to the lawyer. Please see the steps I've outlined below:

  1. Click the Gear icon and choose Chart of Accounts.
  2. Next, find the liability account and click the dropdown arrow under Action.
  3. Select Run report.
  4. Set the Report period date and then, click the Customize button.
  5. Scroll down to the Rows/Columns section and check the Customer box.
  6. From there, select the clients' name that still has money to the lawyer.
  7. Once done, click Run report.

For more details in modifying reports in QBO, please check out this article: Customize reports in QuickBooks Online. This also provides descriptions for the other options and filter you can utilize.

You can also save the report's customization so you can apply the same formats and filters in the future. To do so, you can memorize the report by clicking the Save customization button.

Stay in touch if you have any other questions about generating reports in QBO. I'm always here in the Community to help you again. Keep safe.

Thank you.  Trouble is, I dont know which customers have a balance until I run the report for everyone.  I need a way to filter it by only the ones that have a balance.  Thanks

Thank you.  Trouble is that I dont know which customers have a balance until I run the report.  So I need a way to find out which customers have a balance that's not zero

I can help you with customizing the report, @DR3786

Since the Account Quick Report can't customize the report to not include zero amount transactions, I suggest taking note of customers that have the balance. Then, customize the report from here.

Here's how to customize the report to select the customer that has a balance:

  1. Run the Account QuickReport.
  2. Click the Customize button.
  3. Scroll down to the Filter section and select the checkbox for Customer.
  4. Select the specific customers.
  5. Choose the Run report button once you're done.

Refer to the following article for detailed guidance about running and customizing your QuickReport: Run reports in QuickBooks Online
