Looking for a keyboard shortcut for entering payment amount on customer invoice when it equals balance.

Hello: I am looking for a keyboard shortcut for entering a payment amount on a customer invoice when it equals the balance.  I have a business where my customers alway pay the exact amount due on their invoice and those amounts are always a thousand dollars or more.  It would be nice if there was a shortcut in the Customer Payments "amount" field that would copy the "Balance" field without having to type in the full numeric amount paid.  I checked the Quickbooks for Mac Keyboard Shortcuts and did not see one.  Does anyone know if one exits?  Thanks

Are you using QB for Mac desktop, then? You did not pick a Product for your topic.

 

In Desktop PC QB, there are Preference settings for payment processing, include "Auto-Calculate" which means, open Receive Payment, select or enter the name (or start from the Name in Customer Center, for Receive Payment) and Checkmark all invoices = the Amount fills in for you.

 

Auto-Apply = enter the amount, and the program Applies, either to the first invoice for that specific amount, or just starts allocating by date, oldest to newest, until runs of out value to keep applying.

 

Neither is a Keyboard shortcut, but a Function that you control.

 

For Keyboard shortcuts, there are handout reference materials, when that applies to a screen. You also see the combo in the Edit menu for that screen. And of course, when we see underlined characters, those are Windows-compliant Alt-command shortcuts.

Thank you for reaching out to us here in the Community. Allow me to share some information about entering/recording payment from customers.

 

We don't have shortcuts that would copy the balance field without typing in the amount paid when entering payments. However, you can pay the invoice through the invoice created and it will automatically put in the balance of the invoice. Let me show you how:

 

  1. Open the invoice created.
  2. Click Receive Payments at the upper-right side of the invoice page.
  3. Click Save and Close to save the payment made.

Thank you Angelyn_T!  You are right, it's not a shortcut per se but it accomplishes what I wanted to do.  It's definitely more efficient and a time saver for sure. Thank you for your help.

Looking for a keyboard shortcut for entering payment amount on customer invoice when it equals balance.

When you are in the invoice you can hold the ALT key down and press U and then Y and that will bring up the receive payment screen for that invoice. Enter the payment amount and press ALT-A and that will enter the payment and close the payment window and bring you back to the invoice screen where you can hit CTRL-F and search for the next invoice. Rinse and repeat.
