I have customized the AR Aging Detail Report to include Notes, however the field is not showing the notes.
I've added notes to the Notes section of the Invoice Customer and Transaction section to the right of the Invoice, and also to the Customer Message at the bottom left of the Invoice. I do not want the customer to see our notes, but I do want the AR Aging Detail report to show the notes so that they will appear on Excel files so that our sales team can see the collection history. How do I get the Notes to show on the AR Aging Detail Report.
This note is in both the Customer and Transaction tab of the invoice.
Hi there, rgerger.
While you cant exactly add notes to the AR aging report that aren't visible to your customers and that transfer over to your excel files, I do have a work around you can do that does exactly what you need. What you'll want to do is add the notes to your memo section. This won't be shown on your invoices and then when you want to transfer them over to excel all you'll need to do is add that memo column to the report.
If you have any other questions or concerns, feel free to post here anytime. Thank you and have a lovely night.
Shoot, we already use the Memo field for Work Order #'s when they are exported from our work order system. Is there another field that will show on the aging?
Hi Nick, I also tried the Customer Message field, but that didn't show on the Aging either.
Hey again, rgerger.
Unfortunately, that's the only alternative. However, perhaps you can include both the Work Order numbers and the notes in the memo section but separate them somehow, maybe with a " / ". I do agree that would be a useful feature and addition to the product, so for that reason, I'm going to suggest this to our product development team, they can review it and consider adding it to a future update. You can keep an eye on our blog, this is where you'll find notes on changes made to the QuickBooks product.
Thanks for the suggestion and if you have other questions, I'm just a few click away. Have a nice Thursday.
You can create a custom field and include it, though you can only enter about 35 characters in it.
Set up a custom field for Customers by editing a customer. See the Additional Info tab to set up custom fields.
Then add the field to the screen view of the invoice template you're using and to the AR Aging Detail Report.
@rgerger Keep in mind, the memo field will show up on Customer Statements. If you use statements and don't want your customer to see the note information, I would not recommend using the memo field.
The "Note" field is able to be selected and added to the AR detail report. This field has to map to somewhere.. It'd be tragic if this incredibly helpful feature didn't work due to a simple programing fix.. e.g. mapping the report field "Notes" for the AR Aging Detail to the "Transaction" Level Notes in the AR area.
I wonder which note field is QB's go to for "Notes" or if they didn't bother to map the incredibly useful field.
We're talking between 5 minutes of report mapping experts time or up to a couple hours.
How about an A/R Report Summary that could have the Customers Notes added as a column. The last note. That way, we can track A/R with that report and see the latest notes on collecting?
We appreciate you for replying to the thread, @940alex. I have some advice you can use to gather the information you need for the report.
Currently, QuickBooks Desktop is unable to create a Customer Notes column. You can only include the Memo column if you customize the report. Having said that, I advise exporting the A/R Aging Summary report to an excel file. This enables you to edit the report from there and get the necessary details.
I'll show you how:

This was my work around. On Customer center, you've got to put the "latest note" you want to see as a pinned note for each customer. Then open Report>Customers & Rec> Customer contact list and modify to show Columns (in my case): Rep, Customer, Balance Total, Days Overdue, Terms, Credit Limit & Notes.
Filter balance total>$0 and Filter Customer Job Level = 0 (this last filter is so only "parent" names appear and not each job name)
