Export memorized Transaction List from Quickbooks to an Excel sheet

I want to export my Memorized Transaction List from Quickbooks to an excel sheet.  How to I do that?

Welcome to the Community. I'd be glad to lend a hand.

 

Exporting your Memorized Transaction List can be done by going to Reports >  List > Memorized Transaction Listing > use the drop down under the Excel option on that report to create a new worksheet. This would enable you to export the list, however all that can be imported into your account is the customer list, vendors inventory parts, non-inventory and assemblies from Excel.

Hello,

 

I'm glad to help.

 

Is your question about email addresses auto-populating in invoices, or on another form? If customer information contains an email address, the system will automatically include the email address when the customer (or vendor) is chosen when creating a transaction.

 

Also, which version of QuickBooks are you using?

Hey there,

 

My company just converted over from desktop to QBO this January 2018 and yes, the memorized transactions did come over.  Ours did need a lot of manual data correcting though.  In the customer info page, we had to manually change the Payment and billing, 'preferred delivery method' to 'None' so it would automactically email to our customers.  We also had to ensure the actual recurring ticket had the customers email in it and options for card payments were selected.

Trying to send invoices to Customers by email.  All are set-up in the Memorized Transaction List.  How do I get that list into Send Forms?

Thanks for reaching out here in the Community. I'd be glad to provide some insight on your question about moving the Memorized Transaction List into Send Forms.

 

When you create an invoice in the Memorized Transaction List, you can choose for QuickBooks to automatically send the form to your customer. Alternatively, if you'd like to be notified before the invoice is sent out, you can add the transaction to the Reminders List. You will then receive a message to let you know it's time to send the invoice.

I'll help with your question about running reports and sending suggestions as well, Tehreem.

 

Memorized Transaction List report only shows a list of transactions that were set up to recur or created automatically. This is the reason why we can't customize it to show the full name or contact information of the customer.

 

You'll wan to run the Customer Contact List report. Then, export both of them to Excel so you can combine them or add more customizations. Here's how:

 

  1. Go to the Reports menu, scroll-down to List, and then select Customer Contact List.
  2. Click Excel and select Create new worksheet.

With regards to sending your product suggestion, I'll share  the steps on how you can send it from your company file. Here's how:

 

  1. Go to the Help menu, select Send Feedback Online, and then click Product Suggestion.
  2. Enter all the required details as well as your suggestion.
  3. Click Send Feedback

When I export my Memorized Transaction List by going to Reports >  List > Memorized Transaction Listing, some transactions are duplicated because we recently updated them. Even though when I open the actual memorized transaction list the old ones aare deleted and there are no duplicates. Why is this and how can I fix it?

Since you've checked the memorized transaction list and confirmed there are no duplicates, let's rebuild your company file data to fix any potential data-related issues before exporting the report. The steps below will guide you through the process.

 

  1. Go to File, Utilities, and then select Rebuild Data.
  2. QuickBooks will ask to make a backup before it rebuilds your company file. Select OK.
  3. Select where you want to save your backup, then OK. Don’t replace another backup file. Enter a new name in File name and select Save.
  4. Select OK when you get the message Rebuild has completed.
  5. Once done, go to the File menu and select Verify Data to check for additional damage.
  6. Then, export the Memorized Transaction Listing again.
