My journal numbers keep repeating on new entries. How can this be made blank?

Ask no more, @user260.

QuickBooks Online journal entries are required to have a counter number, so the field can't be left entirely blank. However, you do have the option to control the sequence and use whatever counting scheme you'd like. See the instructions below to get started:

Setting up Custom Transaction Numbers

  1. Begin by enabling the setting from the Gear icon (⚙) > Account and Settings > Sales tab > Sales Form Content section > set Custom Transaction Numbers to On > click Save and then Done.
  2. Click the Plus (+) icon and select Journal Entry. Assign the first number of your new sequence in the Journal no. field.
  3. Select Save and close. Beginning with your next Journal Entry, the counter will start on the immediately following number. For example, if you had entered ABC-1, the next entry will be numbered ABC-2 automatically.

This information is also available from our guide on custom transaction numbers for your convenience. I'm attaching a video below in which I set up a custom sequence for my journal entries:

Doing this will help you order your journal numbers however you'd like. Please keep in touch with me here should you have any additional questions or concerns. Thanks for coming to the Community, wishing you and your business continued success in all that you do.

My journal numbers keep repeating on new entries. How can this be made blank?

Is there an option to restrict a duplication of the same journal number?

Hello there, Samg79,

We're unable to restrict duplication of journal entry numbers. However, you have an option to disable the auto-filling of numbers so you can enter your own number whenever you create JE.

Disable form auto-filling:

  1. Click the Gear icon.
  2. Then, click Account and Settings.
  3. Select Advanced tab on the left pane.
  4. Select the Automation section and un-check the box for Pre-fill forms with previously entered content.
  5. Click Save and then Done.

Here's another guide to customize transaction numbers:

Check out our guide on pre-filling transactions for additional information.

Let me know if there's anything else I can help you with.

Is is possible to keep the same journal entry number for recurring journals each month?  i.e. recording of depreciation every month is journal ID 100

Thanks for joining the Community, Ncfundi.

I can certainly understand how an ability to keep your numbers for each recurring journal entry identical could be useful and have submitted a suggestion about it as of today.

You can also submit your own feature requests while using QuickBooks.

Here's how:

  1. Use the Gear (⚙️) icon.
  2. Click Feedback.
  3. Enter your suggestions and/or comments.
  4. Press Next.
  5. Choose Skip and send message.
  6. The available drop-down menu can be used to pick an appropriate category.
  7. Select Send message.

Your feedback's definitely valuable to Intuit. It will be reviewed by our Product Development team and considered in future updates. Feature requests can be tracked through Intuit's Customer Feedback website.

I'll be here to help if there's any additional questions. Have a wonderful Wednesday!

Thanks for your response, so does this mean that there is currently no way to automate this type of transaction?

Hello there, Ncfundi.

I appreciate your response.

For the journal entry number, yes, it will follow the sequence when it's created. As of now, we don't have the option to sort it.

I can see this is a great suggestion. You can submit product feedback by following the steps given by ZackE

Get back to me if you have any more questions. I'm a post away.

My journal numbers keep repeating on new entries. How can this be made blank?

This is what i do when that happens.
Let's say i create a JE and someone else does at the same time #2102, then we would have to #s 2102.

Ideally should say that you can't use the same number but instead uses the same so if you go and then assign 2103 to the duplicated and click "Save and New" gives you a new template with the #2103 (yes, you already knew that)
I just go and "Save and New" with some Make Up accounts and numbers, then will give me the next JE number #2103, well... i go to the history and just delete the last 2103 created with the Make up numbers.
That has been my only solutions.
Do you do the same by chance?
