Hi Alexlukas, 

 

You can select edit rates to change your tax name description to VAT. Let me guide you how.

  1. Click Taxes on the left menu.
  2. Click the drop-down arrow beside Edit VAT, select Edit rates.
  3. Select the tax name that you want to edit.
  4. Click Edit.
  5. Change the Name field KRA to VAT
  6. Click Save.

Thanks for the fast reply. My screens (attached) look a bit different. On the first one, when I click on "edit", nothing happens (bug?). On the second one, I can use VAT as agency name (as on the screen) but the invoice shows KRA@16%. Screenshot (10).pngScreenshot (11).png

The steps provided by my colleague above will help you edit a tax name. Since clicking the Edit button won't allow you to make changes, I suggest performing some troubleshooting steps. This way, you'll be able to change the tax name to VAT.

 

There are times that the browser is full of frequently-accessed page resources, thus causing websites, like QuickBooks Online (QBO), to act weirdly. Let's try logging into your QBO account using a  different or a private browser.

 

To use a private browser, here's how:    

 

  • Google Chrome: Ctrl + Shift + N
  • Internet Explorer: Ctrl + Shift + P
  • Mozilla Firefox: Ctrl + Shift + P
  • Safari: Command + Option + P

 

Once logged in, go back and try to edit the tax name again to double-check.

 

If this works, it means that you need to clear your browser's cache so the system can start fresh. 

 

Also, when creating an invoice, you'll have to make sure that you select the appropriate tax name under the VAT column. I've attached screenshot below for your visual reference.

Unfortunately, that didn't solve the problem. Can you just delete all tax entries again and I start new again?

Hello there, @Alexlukas

 

You'll first need to make the VAT rate (KRA 16%) inactive so you can remove it in the VAT Centre. Doing this won't delete the transactions associated with it to make sure your reports remain accurate. With this, you'll have to run the VAT Liability Report so you can check its associated transactions and then manually delete them. 

 

To make the VAT rate inactive: 

  1. Go to Taxes from the left menu. 
  2. Choose the Edit VAT drop-down menu. 
  3. Select Edit Rates.
  4. Locate KRA 16%, then switch it from On to Off.
  5. Click Yes to confirm.

To run the VAT Liability Report to review the transactions associated with it and manually delete them:

  1. Go to Reports from the left menu. 
  2. In the Search box, enter VAT Liability Report.
  3. Set the Report period
  4. Choose your VAT Agency and Accounting method
  5. Click Run report
  6. In the KRA (Sales) (16%) line, click the amount to open each transaction.
  7. Select More in the footer, then choose Delete
  8. Click Yes to confirm. 

 

Repeat the process above for other transactions. See the screenshot below to show you the third to the sixth steps. After that, run the report again to see if you've successfully deleted them.

Once done, you can now add a tax rate (VAT 16%) in the VAT Centre. Then, apply it to your sales forms. For more details, go through this article: Set Up and Edit VAT Settings, Codes, and Rates

 

When you file your VAT return, you can always run the VAT Detail and Recent Transactions reports in the Reports menu. This ensures the transactions you have created are allocated into the correct box. To learn more about this process, visit this article: How Do I Know My VAT Return Is Correct?
