On QB Online Payroll, can I import an excel sheet that lists each contractor and their payment? or do I have to manually enter each amount? I have 100 contractors

They get paid different amounts each payroll and I have an excel sheet that lists all of them. It would be a great time saver if I could just upload that excel sheet for each payroll rather than type in each persons payment.

Hi there, @beth100. Thank you for reaching the Community. I've got some information you need so you can import an Excel in QuickBooks Online.

 

Yes, you can import the list of your contractors using an Excel file in QBO. You’ll want to import them as a vendor list in your account.

 

Here’s how:

  1. Go to Settings. Then select Import Data.
  2. Select Vendors.
  3. Click Browse to upload the file from your computer. Choose the file, and select Open.
  4. To upload from Google Sheets, select Connect to sign into your Google account. Choose the file, and click Select.
  5. Select Next.
  6. In the Your Field column, select each small arrow icon. Then, match your field to the corresponding QuickBooks Online field.
  7. Select No Match if you have a field that doesn't have a matching column in your spreadsheet.
  8. Confirm your contacts. Uncheck any that you don't want to save.
  9. If everything looks good, select Import.

From there, you can also edit the list and check the box for Track payments for 1099. This way, the lists will be reflected in the Contractors page.

Thanks @Carneil_C . I guess I was not clear on what I was asking. I am talking about the actual processing of payroll, not adding new contractors. After I have the contractors added and want to run my payroll can I upload a spreadsheet that contains all the contractors and their payments for that pay period? Instead of having to manually enter a pay amount for each contractor? Their payments vary each time and I pay different contractors each time, usually about 100 contractors per pay period, so adding them in one by one manually would be a lot of work but if I can upload a spreadsheet that contains each person and their pay, that would be much faster. Thanks.

Thanks for adding some details about your situation, beth100.

 

For now, we can only import the bank data, customers, vendors, chart of accounts, products/services, and invoices in QuickBooks Online. When you say you want to run payroll for these contractors, are they added as employees? If so, you need to enter their past pay information manually. This is to make sure that everything is accurate for year-to-date (YTD) totals on your employees’ pay stubs to report the correct W-2 information at the end of the year.

On the other hand, you can visit our QuickBooks App Center to find a third-party application that can import payroll transactions into the program. You can also follow these steps to search for an app if you're inside QuickBooks Online: 

 

  1. Go to Apps on the left panel.
  2. Click the Find Apps tab.
  3. Enter a keyword in the search bar or click the Browse category button to filter the results.

Though there isn't a direct way to import the list of your contractor and their payment, you can look for a third-party app. Just follow the steps shared by RenjolynC on how to search for a third-party app.
