Overdue Invoices

Hi everyone! What steps should I do in correcting an Overdue Invoices from last year. I just took over this bookkeeping job recently. The owner said they are all paid using paypal and stripe. How can I trace back and clear them.  Thank you.

Overdue Invoices

Thank you for visiting the QuickBooks Community. Let's perform some steps to ensure you'll be able to clear those past invoices in QuickBooks Online.

 

To start tracing the overdue invoices, you can run the Account Receivable Aging Detail report in QBO. This statement gives you an overview of your customers' outstanding balances, who are falling behind their payments, and how much is still due. Also, the detailed information about the entry including the amount.

 

Here's how:

 

  1. Go to Business overview and select Reports.
  2. In the Who owes you section, select Accounts receivable aging detail.
  3. Customize the report as needed.
  4. Click Run report.

 

Then, if the PayPal and stripe are connected to QuickBooks Online, you can go to the Banking section and match the downloaded payment with the invoices. That way, you're able to clear the sales entries. Please follow the steps below.

 

  1. Go to Bookkeeping and Transactions section. Then, select Bank transactions.
  2. Select the tile for the account you want to review.
  3. Select the For review tab to start your review.
  4. Find a downloaded transaction with the Match option in the Action column.
  5. Note the DateDescriptionPayee, and amount spent or received.
  6. Click Match.

 

However, if PayPal and stripe aren't connected to QuickBooks, you can click each overdue invoice from the report to expand the page. Then, click the Received payment button so the entries will appear as closed and paid to clear them.
