Progress Invoicing

After you input an estimate and create a first progressive invoice, save and send.  Then, if you want to bill a portion of the original estimate how do you produce an invoice that shows the remaining balance still owing per line item of the original estimate?

Greeting, @Sherilaplaca.

I'd be delighted to help walk you through creating an invoice to show the remaining balance of the original estimate.

You can generate your Estimate and Progress Invoicing Summary by customer report for you to see all the estimates created per customer, the invoiced amount and remaining balance per invoice. Also you can see the status of the estimate whether it is Pending, Accepted or Closed.

Here's how to access this report:

  1. Go to Reports.
  2. Under Sales and Customers sections, choose Estimate and Progress Invoicing Summary by customer report.

Once you already have the report, you can use the Balance displayed on the report in creating an invoice.

I am wondering the same thing.  From what I see, it shows when you go to the original estimate, but there isn't a way to actually print it and send to the customer.

This does not address the remaining balance "per line item" as asked in the original question.  Customers sometimes need to see the detail by line item and not just the total balance remaining on an estimate.  Is this functionality in the works?

Hi there, Mer.

At this time, the option to show the remaining balance per line item in the original estimate is unavailable. However, you can enter the details per line item in the Description column. Once you print it, the line item details will show in the estimate's Activity column.

You can also make some changes to your estimates to update your progress invoices. You can follow the steps in the Make changes to your estimates section in this article: Turn on and use progress invoicing.

Please reply to this thread if you have additional questions. I'd be glad to answer them.

Along these lines, is there a report that can be printed with Estimates and Progress Invoicing DETAIL by Customer?  I only see a summary but am trying to figure out if it can be expanded.

Thanks for dawnjohnson.

At this time, QuickBooks Online (QBO) doesn't have an Estimates & Progress Invoicing Detail By Customer report. We can only run the summary version (please refer to the steps shared by my colleague juVeilL).

I'll make sure to take note of your request and forward this to our developers.

Progress Invoicing

This is also causing major problems for our company.   It is very difficult to inform a customer that I don’t know the remaining balance of a line item.  Please work on the progress invoicing.  We have used Quickbooks for over 20 years and have used progress invoices.  This is critical for both the customer and our company.  Lastly, when you bill a percentage, it should be connected to the remaining balance rather than the original amount per line item.  For example if I bill a customer 75 percent on the first invoice, I would like to be able to bill the next invoice 100 percent of the remaining balance.  Currently you have to calculate the amount billed and the amount remaining.  This is difficult if it is not a whole number.  The older version had previous billed amount, current billed amount and amount remaining.  This is much easier for customers to keep tract of billing.  Please help!!!!

Hi there, giovannilpc.

We know how much time it can take when something isn’t working the way you need it, which is why we make great efforts to deliver customer satisfaction at all times.

Currently, QuickBooks doesn't have the option to link the remaining balance when you bill a percentage. For now, you can choose the Remaining total of all lines option to fully pay the invoice.

Rest assured, I'm going to submit a feature request from my side, which is sent to the Product Development Team. They're constantly looking for great ideas from users, like yourself, when deciding how to enhance QuickBooks.

I also recommend visiting our QuickBooks blog site to know more about the latest updates in QuickBooks Online.

We want to ensure we continue to provide exceptional service. Let me know should you have any follow-up questions. I'm always here to help. Take care always.

Progress Invoicing

This seems like it would be one of the main features of progress invoicing. When I'm paying for something in this manner, the first thing I look at is the remaining balance due. Very outdated QB....
