Project Reports not showing all labor

I love the Projects feature in QB, however, I recently discovered that not all of our project time is being reported. It shows it is coded to the correct project in the Weekly Timesheet, however, when I pull a P&L for the project, it is missing some of the labor. It is hit or miss which hours/time gets sent to the projects and which don't. There doesn't seem to be any rhyme or reason to it, but it does seem to be getting worse. Some of the time does go correctly - so I know it's supposed to. But currently this year, I have almost $160k in labor costs that are unassigned to a project. Again, when I dive deeper to the exact time sheet that is "unassigned", it is correctly assigned there. It also doesn't allow me to "fix" it. I have tried erasing the assigned project and adding it back in on the timesheet and it doesn't fix anything.

 

I have been on the phone, chats, and requested a manager to help me with this issue. I have spent over 5 hours on QB support trying to resolve this and I either get transferred or dropped. No one has been able to help me solve this yet, but it is a big deal for my company. We need to be able to track our projects and their labor accurately.

Hi there, @kvanheuk. I'm here to help you track the project labor cost in QuickBooks Online (QBO).

 

In QuickBooks Online (QBO), project labors will only reflect on your Profit and Loss report once you've invoiced the time that is billable. This may be the reason you're unable to see some of the labor cost in the report. Same goes with vendor hourly cost, they won't appear in the report unless you created an expense transaction using the hourly service item. 

 

Additionally, you'll have to make sure that you use the correct report period and accounting method

 

On the other hand, we can also run the Time cost by employee or vendor report. This will show the project's cost rate, cost, billable rate, and total billable amount.

The problem is that the time costs aren't going to the project they've been assigned to. One interesting thing I noticed today, is that in the memo/description, it does state "Gross amount of wage types not in project" - which it doesn't say that on pay that has been properly linked to the project.

 

These entries are all correct in the weekly timesheets, so they were entered correctly - they just aren't connecting for some reason.

I appreciate the screenshot you've provided. Thus, this helps us get on the same page when sorting out your concern. Please know that my colleague already updated her response above to clarify things.

 

Based on the visual reference you've provided, it's likely that the Hourly cost rate of the vendor was updated on the vendor profile after creating the Weekly timesheet. That said, the cost rate was unable to show the updated information. However, it'll show up in the next time range. 

 

That's why erasing the assigned project and adding it back in on the timesheet won't let you see the information. 

 

To get around this, we can manually enter the cost on the individual timesheet.

 

 

Otherwise, we can delete and recreate the affected weekly timesheet.

Thank you for the response. I will try that. However, I am concerned that it is more than that. I don't believe the hourly cost rate was changed on all of these occurrences (or at all), this has been going on every week for at least 6 months now... I have about $160k of unassigned labor for this year alone that I will need to go in and somehow correct now.

I also tried to just go in and delete and recreate one of the affected time sheets, and I have the same issue. It's still not showing up on the projects and is still "unassigned" even though I assigned a job to it.

I want to ensure this matter is addressed quickly, so you'll have all your project time tracked on reports in QuickBooks Online (QBO) and keep your financial data updated.

 

For the time being, we have an ongoing issue where timesheet hours synced from QuickBooks Time not showing under the correct project column in Profit and Loss by Client report. Rest assured that this issue is currently worked on with utmost urgency. 

 

In keeping with this, I'd recommend contacting our Customer Care team again. They can add your account to the list of affected users. This ensures you're in the loop about the investigation's status and its fix. To do this, here's how:

 

  1. Sign in to your QBO company.
  2. Go to the Help (?) menu.
  3. Select the Search tab.
  4. Click the Contact Us button.
  5. Enter a brief description of your concern in the What can we help you with? field.
  6. Select Continue.
  7. Choose a way to connect with us (Send a message/Chat or Get a callback/Callback).

I am having the same issue with labor costs not showing in my project reports, and it doesn't seem like anyone in support is actually aware of this issue. What is the progress on having this problem fixed? It is essential to our business that we can see the profitability of projects.

I'll share an update about the investigation where timesheet hours synced from QuickBooks Time aren't showing under the correct project column in the Profit and Loss by Client report in QuickBooks Online (QBO).

 

The mentioned investigation above in QBO is still in progress. Rest assured, our engineering team is aware, and they've been all hands on deck working to fix this as soon as possible.

I called today with the same issue (after reading your thread here). I was told that they had closed your case over a month ago. Supposedly, someone opened a new one today that they will add me to... with no idea of a resolution in sight. I voiced how unacceptable this is and I will be following up in 48 hours if I don't hear from anyone.

We've also experienced the same issue with labor not integrating into our QB Project reports. We process payroll every 2 weeks. On 7/31/23, we ran a project profitability report for May - July and noticed that only the 1st monthly payroll for May, June, and July had integrated into the project profitability reports causing a significant discrepancy for reasons that we couldn't determine. 

 

The QB customer service reps that I spoke with seemed unaware of this issue. I was transferred between departments for Payroll, Projects, and Time Sheets. At one point, we were on a 3-way call to re-enter time sheets and sync to QB so they could verify that the time sheets were not integrating into QB projects. The Time rep even reviewed our set ups to be sure nothing was preventing the integration.

 

After 6 hours in one phone call with 3 reps, finally it was agreed to escalate this issue to the IT dept, and they provided me with an INV# for reference. That was over 2 weeks ago. To date, there's been no response or resolution at all from QB. 

 

On 8/18/23, we ran our 2nd monthly payroll for August, and the issue persists. None of the labor hours for our projects were reported in QB Projects for payroll. We only have the 1st monthly August payroll (8/04/23) that reported into QB Projects. All time entries correctly list projects for each payroll period. 

 

The amount of manual labor costs required to correctly allocate these project labor costs is forcing us to rethink if QB is the right accounting software for our company. This is a serious issue that needs to be corrected quickly. Thank you for your attention to this.

Are there any updates to this issue? My company is considering upgrading our QB plan so we can access the Projects feature, but reading about issues like this (and others on the forum) make us unsure if this will be a profitable move for us. We can't afford to spend the time and money setting up our Projects if glitches like this will prevent the feature from being effective. 

 

Is Projects truly useful and bug free, or are glitches like this the norm?

I also have the same exact issue with the "Project" data from paychecks not showing up in the Project.  The timecard shows up there though.  Was is beyond frustrating is I have been on multiple calls with Quickbooks and they never mentioned this was a known issue.

So many wasted hours on this issue.  I will have my case updated with this information as I am not the only company having this issue.  I am a ProAdvisor and only one of my clients is affected.  They are on QBO Advanced and Payroll Premium. 

I have also tried to restore to backup 28 times!   That feature doesn't work either.

It is crazy that your Support Team is not aware that this is a known issue.   For six days now I have gone back and forth with Support.   I was told was to restore from backup - which never worked after 27 attempts.

I would appreciate an update as well. I opened my case with this issue on 7/24/23 and have requested multiple updates but an told there isn’t one very time I call or chat. This error has caused us to start the process of switching softwares - but regardless of that, I have eight months of data that isn’t accurate and needs to be corrected for my insurance and union audits. This is so unacceptable.

I also would appreciate a resolution to this major issue. As stated in my August post, my case was escalated to your IT department on 8/1/23 as case# 15103203722 (INV-90590). I've not had any contact with your help team and the issue remains unresolved. We are now in our 4th monthly cycle of manually computing the labor attributable to our projects. This not only requires several additional accounting labor hours but delays our financial statements to our owners. 

 

If this were a new issue for QBO, the quarter would be given, but people have posted on this issue for several months now. Despite the other great features of QBO, this really could be a deal breaker in continued patronage for us. It's imperative that Time interfaces correctly into our Projects, and thus, provides accurate financial info. For our company, failure in doing so greatly impacts key business decisions for our company. We really can't spend the additional time and money wondering if our Project P&Ls are reporting accurately.

The said investigation is already closed. However, as I have checked, there is a new investigation opened for the same issue, as there are still reports from affected users.

I only support the construction industry and this is just crazy that this is an issue.  Labor MUST flow through to the project and all related reports.

 

INTUIT - Many companies have not gotten a resolution to a problem that was reported months ago.

Looks like this has been going on since April with no fix in sight.  For all of you that have been researching this, the investigation number that I received is INV-90151. 

 

This is crazy that Projects can not track time from Workforce, their own company.  I can see the hours if I drill down, but it does not give me a total job costing for labor.  My work around is to download the timesheet excel file found in Workforce, create a separate column with the labor cost formula in order to get the true  labor cost per job. It would be much easier if Projects actually worked correctly.  The reporting for QBO stinks compared to QB Desktop.
