Purchase Order Report (open POs as well as closed POs)

Is there a report in QB Online Advanced that shows list of all POs created during a period (i.e. open POs as well as closed POs), not just open POs. Thanks in advance.

Yes, there is, @Omer_S.

You can run the Open Purchase Order List report to see all POs created during a specific period. Just make sure to enable the PO Status column and add Closed to the filter.

 

Here's how:

 

  1. Go to Reports, then select Standard reports.
  2. Find the Open Purchase Order List in the report search box.
  3. Adjust the report period.
  4. Click on Columns option, then put a checkmark for PO status.
  5. Go to the Filter option, then add Closed for the PO status condition.

Thanks. If i need a PO detail report (not the summary report you have shown) that shows both open and closed POs, is that report available? PO detail report shows line-item level info for all POs. The issue is that this report does not have a filter for "PO status" that would help be select both open and closed POs.

You're correct that the Open Status column is unavailable in the Open Purchase Order Detail report, OmerS.

 

The Open Status feature is only included in the Open Purchase Order List because the status is tied to each transaction rather than individual line items. For this reason, it is not an option in the Open Purchase Order Detail report.

 

If you need both sets of details in a single report, we suggest exporting the reports to Excel and combining them manually.

 

Here's how:

 

  1. Log in to your QBO account.
  2. Look for the two reports individually in the search bar.
  3. Click the printer icon located in the top right corner, and then select the Print tab.
  4. Store the file in a location that’s easy to access, such as your Downloads folder or desktop.

I don't think your suggestion will fulfill the objective, unless i hope i am missing something. I am looking for a line item list of ALL POs. If the starting point is line item level data, i must use "Purchase Order Detail" Report and that report shows open POs only - it does not show closed POs.

Hey there, Omer_S. We can customize a report to display line-item details of all your Purchase Orders, whether their status is closed or open.

 

Follow these steps: 
 

  1. From the left navigation panel, select Reports. Under the Custom report builder section, click Create new report.
  2. Choose Transaction List as the starting point for your report.
  3. Ensure the Report Period is set to the desired time frame by customizing the Date range
  4. Click the Filter button to narrow down the data.
    • Under Transaction type, select:
    • Second dropdown: Equals
    • Third dropdown: Purchase order
  5. Beside the Filter button, click the Columns tab, then select More columns.
  6. Search for "PO status" and tick the checkbox to add the column to your report.
  7. For line-item details, search for "Product/Service" and tick the checkbox to add it to the report.
  8. If you need additional details, click Show more to explore other relevant options you can include.
  9. Click the Reorder button to arrange the columns in your desired order. Drag and drop the columns to customize the layout to suit your preference.
  10. Once you’re satisfied with the report’s layout and information, click Save.
