QB isn't allowing me to enter a TAX ID for one of my vendors (the field is greyed out). What do I do?

Thank you for posting here in the Community, ali35.

I'm here to guide you on how to enter Tax ID in QuickBooks Online.

There are times your browser is not well configured and causes problems. This is why they're not pulling in between QuickBooks Time. There are a few basic troubleshooting steps you can perform.

To use a private browser, here's how:

  • On your keyboard, press Ctrl Shift (Google Chrome).
  • Ctrl Shift (Firefox or Internet Explorer).
  • Control Option (Safari).

Once done, let's try to access payroll settings again and enter your Tax ID.

Here's how:

  1. Go to the Gear icon in the upper right-hand corner of your Home Page.
  2. Under Your Company, click Payroll Settings.
  3. Click Federal Taxes and check your EIN, then click OK.
  4. Click State Taxes - (your state) and check your state account number.
  5. Click OK.

To learn more about the process above, visit this article: QBO Settings. Then, go to the Changing business name or tax info section.

Once done, you'll have to re-enroll the e-services feature and send us a new authorization form.

Aside from EIN, you can update other details in Account and Settings. These are contact info, business type, and address from the Company tab.

Leave a comment below if you need anything else. The Community and I will be around to help you. Keep safe.

My new client gave me a list of his Vendors with their names and addresses, no EIN numbers. Until I can meet with him I need to get some of the vendor info entered. It will not let me save without an EIN number. How can I enter this later and get it to save without it?

Hello, Melinda White.

I'd like to show you some steps to help you save the vendor details without the EIN.

It looks like you're adding those vendors from the Contractors page. Doing so will always require you to enter their EIN when adding the details.

You'll want to enter them from the Vendors page instead. This way, QuickBooks won't ask for the EIN details, only the rest of the information such as names, phone numbers and addresses.

Here's how to do it:

  1. Go to Expenses, then click the Vendors tab.
  2. Hit the New vendor button.
  3. Add their information (the ones available to you right now).
  4. If this vendor is for your client's 1099, check the Track payments for 1099 box.
  5. Add other information such as attachments if necessary.
  6. Hit Save

When you check the Track payments for 1099 box, the vendors will appear on the Contractors page. Simply go to this page and open a vendor or contractor profile when you're ready to add the EIN details.

Need more details about adding the 1099 vendors? This article highlights other important details: Set up contractors and track them for 1099s in QuickBooks.

If you need to issue out the 1099s during the next tax season, you can check this article for a guide: Create and file 1099s using QuickBooks Online.

Need to take care of other vendor-related tasks or do you need help managing your client's data? I'm more than happy to share other details with you again. Just say the word and I'll get back to you as soon as possible.

You should be able to enter your TAX ID in QuickBooks Online, bahebe. Let me help you get back on track with your activities.

Before proceeding with further instructions, please let me know if you're receiving any error messages while trying to input the TAX ID. This will enable me to provide you with appropriate guidance.

In the meantime, let's perform some basic troubleshooting steps to resolve the issue. Sometimes, the system can behave unexpectedly due to stored internet cache files. You can begin by opening an incognito window or private browser using the following keyboard shortcuts:

  • Safari: Command + Shift + N
  • Google Chrome: CTRL + Shift + N
  • Mozilla Firefox or Microsoft Edge: CTRL + Sh

If this resolves the issue, return to your regular browser and clear your browsing history to start fresh. If not, you can use a different supported browser. The QuickBooks version you're currently using may have a temporary malfunction.

You'll want to know more about identification numbers and how to manage them. Refer to this article: What are EIN and TIN numbers?

Please connect with me here again if you need further assistance with any vendor-related tasks. Providing you with the necessary information is my priority. Keep safe.
