QuickBooks Creates Billable Expense Income Account

I am trying to clean up our chart of accounts and QBO keeps automatically creating a "Billable Expense Income" account. I now have a total of 7 of them. How do I get this to stop? It's very annoying!

QuickBooks Creates Billable Expense Income Account

QuickBooks Online generates default and special accounts based on your company preferences. You may consider merging the accounts to delete it. I'll walk you through on how to do it.

 

Here's how:

 

  1. Go to the Accounting tab and select Chart of Accounts.
  2. Find the account to be merged in the list.
  3. Click Edit and change the name of the account.
  4. Choose Save and Close.
  5. When prompted whether you want to merge the accounts, select Yes.

You can no longer use the original account after they're merged.

I appreciate your response, but this did not answer my question. Here's my question restated in hopes of making it clearer:

 

How do I stop QBO from automatically creating the "Billable Expense Income" account?

 

I know have 14 of these accounts!!! We didn't create any of them! See attached image.

 

My question is not how do I get rid of them after they have been created. I want to know how to stop them from being created in the first place. To be clear, I know how to merge and how to delete accounts. As a matter of fact, I was merging and deleting accounts to clean up my chart of accounts when I noticed this happening. Some of the ones I deleted were in fact "Billable Expense Income".

I want to ensure that this is taken care of. Let me direct you to our support team to get this sorted out. There, they can securely check your account and investigate why you’re having 14 “Billable Expense Income” accounts in your QuickBooks Online (QBO) account.

 

They can also perform some troubleshooting steps to get around this and create an investigation ticket if there’s a need to look deeper into this. To reach out to them, you can follow these steps:

  1. Go to the (?) Help menu.
  2. Select Talk to a human. (Select again).
  3. Type in Still need a human. (Select again).
  4. Click Contact us. (Select again).
  5. Enter a brief discussion of your concern and click Let’s talk.
  6. Choose either Start messaging (if you preferred chat) or Get a call1.JPG

I suggest you follow the steps provided by my colleague @JasroV above. Our Technical Support team can investigate as to why an account in your Chart of Accounts has a duplicate.

If support knows the steps to fix this bug auto-creating these in the COA then **please** just post how to fix it in the forums instead of asking everyone to contact support. Lots of us have this happening and just want to fix it quickly T_T

I would have felt the same way if I had gone through the same issue, Masonprb. I'm here to assist you in removing the duplicate account.

 

Before anything else, when you turn on the billable expense feature, QuickBooks will automatically create a billable expense account only once. The chart of accounts contains default accounts that cannot be modified or deleted. 

 

If you have a duplicate account, I recommend merging them to move all the data into the one you want to keep and remove the duplicate. 

 

Here's how:

 

  1. Hover to the Chart of Accounts.
  2. Find the duplicate account that you want to remove.
  3. Select the dropdown ▼ in the Action column and then click Edit.
  4. To ensure that the duplicate account's information matches the account you want to keep, change the Account name and Tax form section.
  5. Select Save, then click Yes, merge accounts.

On the other hand, if the duplicate account still shows after merging them, let's open your QuickBooks account in a private window to rule out any browser-related issues. Here are the keyboard shortcuts:

 

  • Google Chrome and Microsoft Edge: Ctrl+ Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Safari: Command + Option + P

 

If you could merge the account and the duplicate did not show up, return to your regular browser and clear your cache. Occasionally, the accumulated cache and cookies in the system can become outdated or corrupted, leading to unexpected behaviors. You can also switch to other installed supported browsers, which is a good alternative.
