Report - Purchases by Item Summary - missing subtotals

When I run the report - Purchases by Item Summary - the current period includes subtotals (by ItemList level) for both Qty and Amount columns. However, when I add comparative columns for Prior Period, Prior Year, or Year-to-Date, the Amount column contains the subtotals, but the Qty column is missing the subtotals from subtotal lines. Is this bug a "feature", or is there (perhaps) a fix on the way. (I'm running Quickbooks 2020 Desktop Accountant's edition, fully updated, on a Windows 10 PC.)

Report - Purchases by Item Summary - missing subtotals

I followed the steps for your solution.  After spending over an hour on the phone with the Tech Support people at Intuit, I was told that this omission is a feature of Quickbooks, rather than a bug.

That is, for the Purchases by Item Summary report, the current period includes (sub)total lines for the quantity of each summary level of item, but if you in include prior period, YTD, or period in prior year, the software is unable to generate the same (sub)total lines for each summary level.  (The earlier screenshot demonstrates what I am saying.)

Thank you for pointing me, step by step, through the process of getting through to tech support.

Report - Purchases by Item Summary - missing subtotals

I appreciate you for letting me know in advance that your QuickBooks is up-to-date, User76422.

The quantity column from subtotal lines automatically appears when I run the comparative columns for the prior period, year and year-to-date.

We can run the verify data in your book to check if the missing subtotal of the report is caused by data integrity issues. Then, let's run the rebuild data that can resolve the issue that the Verify data finds.

To identify data issues, select Window from the main menu. Select Close All.  Then, choose File and select Utilities. then, select Verify Data.

Then, here's how to resolve data integrity issues in your book:

  1. Go to the File menu.
  2. Choose Utilities.
  3. Select Rebuild Data.
  4. QuickBooks will prompt you to create a backup copy, click OK.
  5. Follow the on-screen instructions to complete the backup.
  6. Once the process is complete, click View issues.
  7. Close the QuickBooks Verify/Rebuild Results window.
  8. Close and open QuickBooks again to ensure all components are updated.

You can virtually tap me on the shoulder if you need more help about QuickBooks Desktop reports. Take care!

Report - Purchases by Item Summary - missing subtotals

When I ran Verify data, there were no issues found.  Yet there continues to be a problem where the QTY totals and subtotals for levels of itemization are missing.

Report - Purchases by Item Summary - missing subtotals

Welcome back to the Intuit Community, @User76422.

Thanks for sharing with us the result after running the Verify Data Utility. The screenshot also gives me a better picture of what happened to the report.

Based on the information, we'll need to perform more in-depth troubleshooting steps to resolve the issue. I’m unable to do that without asking for your personal information.

Since we prioritize the safety of the account, I suggest contacting our Technical Support Team. They have tools to determine why the subtotal of the items won’t show on the report (comparative view).

Once the resolution is available, one of our support specialists will guide you through the steps on how to fix the issue. To get in touch with them, follow the steps below:

  1. Go to the Help section of the company file to see the contact details.
  2. Choose QuickBooks Desktop Help to open the Have a Question window.
  3. Hit the Contact us link to see the Contact Us screen.
  4. Tap the Search for something else link and then enter the topic in the field box.
  5. Press the Search menu to display the Message Us feature.

For future reference, here’s an article that provides an overview of refining the data on the report. It also contains instructions on how to add/delete columns, personalize the font style, etc.: Customize reports in QuickBooks Desktop.

Reach out to me if you have any other concerns. I’ll be right here to assist further. Have a
