Sales Tax Liability Report in QB Online

I recently switched from QB Online from QB Desktop. This is my first quarter using QB Online and it is time for me to pay the quarterly sales and use tax for California. In QB Desktop I would run the Sales Tax Liability Report and everything I would need would be there. Under the Gross Total column there would be a Grand Total that I could click on and see every charge on every invoice for that quarter broken down my Account Type, i.e. labor, shipping, taxable, non-taxable, interest, etc.

 

Not only does the Sales Tax Liability report in QB Online not have a grand total I can click on, I have noticed that it is only including invoices that have something taxable in them and completely leaving out invoices that are only labor charges. So basically this Report does nothing for me, and I can't figure out how to get the data I need to file my Sales and Use tax.

Sales Tax Liability Report in QB Online

Yes I need:

 

- Sales Tax Liability report to include ALL invoices for the quarter, not just the ones that generated tax

- I need there to be totals at the bottom of each column, not just for the total sales tax.

- I need to be able to click on total sales and run a report.

 

Please see attached example.

 

Basically I need it to function exactly the same as the Sales Tax Liability report does on QuickBooks Desktop

While QuickBooks Online (QBO) offers the convenience of working from anywhere on any device, its customization options are more limited compared to QuickBooks Desktop (QBDT).

 

I understand how QBDT provides extensive customization options and has the flexibility to tailor reports and forms to your specific needs. However, it is currently unavailable in the QBO program.

 

In the meantime, you can export the sales tax liability report to Excel. This way, you can manually add columns with certain formulas for each column's total. Follow these steps to export them:

 

  1. From the left navigation pane, select the Reports menu.
  2. Look for the Sales Tax Liability report.
  3. Click the Export icon located at the upper part of the report. Then, select Export to Excel.
  4. Save the file to your device, where you can easily locate it.

While this option is currently unavailable, I encourage you to submit feedback requests to our product developers. Rest assured that they will review and consider it for future updates depending on the number of users' requests. Here's how:

 

  1. Go to the Gear icon at the top.
  2. Select Feedback.
  3. Enter your comments or product suggestions.
  4. Then select Next to submit feedback.

Sales Tax Liability Report in QB Online

I will definitely submit feedback. But in the meantime, are there any work-arounds? Ways to get the data I need by using different reports perhaps? I can't imagine that I am the only one that needs the data I outlined above.

Sales Tax Liability Report in QB Online

I'm here to share a workaround so you can get the information you need to run your taxes.

 

Let's run a Taxable Sales by Detail report as an alternative to having full customization capabilities on the Sales Tax Liability report. Here's how to run the report:

 

  1. On the left navigation panel, go to Reports.
  2. Search for Taxable Sales Detail.
  3. Run the report.

 

From there, let's customize the report to show the Tax Amount and Taxable Amount. Here's how to do it:

 

  1. Click Customize.
  2. In the Rows/Columns section, tick the boxes for Tax Amount and Taxable Amount.
  3. Click Run report.

 

Once done, you'll see these columns on the reports with their totals at the bottom.
