Seeking workaround for Admin Assistant permissions

I am looking for a way to give an administrative assistant access to my organizations QuickBooks Online account without giving them full visibility. I just want them to be able to categorize transactions. The problem is QBO only gives “all or nothing” access, but I don’t want the assistant to view bank balances, financial statements, etc. so my question is this:

 

Has anyone found a way to do this, whether within QBO or by utilizing a 3rd party app?

 

I looked at Expensify so they could classify in the app and have it transfer to QBO automatically, but I think it would cost me my automatic bank feed. The only solution I have right now (other than doing it myself) is send a spreadsheet and have the assistant fill it in, then I or someone else manually does it again in QBO... not very efficient.

Our QuickBooks Online Advanced plan enables admins to add custom users. This allows you to be more in control of what they can see and do. For example, a user could be created who only has access to see your Bank Deposit screen.

I've included an insightful video which explains more about how this feature works:


If you're not subscribed to QBO Advanced, you may want to consider upgrading. Upgrades can be performed while signed in.
 

Here's how:

  1. Log in as a master or company admin.
  2. Use your Gear (⚙️) icon, then go to Account and settings.
  3. Access the Billing & Subscription tab.
  4. Confirm all payment information is up-to-date.
  5. Click Upgrade your plan.
  6. Review our available plans. Once you've made a choice, select Choose Plan.
  7. Follow along with the on-screen steps to finish upgrading your account.


In the event you upgraded to Advanced, now you'll be able to create custom user profiles. If you'd prefer not to upgrade, I'd recommend looking through our QuickBooks App Store for applications that might be able to accomplish what you're looking to do.

Thank you for the info, I did not know that this existed. I appreciate the response, however, I don't think I'll be able to swing $150/month right now for QBO Advanced. It's a lot to pay just for added permissions, which is what I'd be upgrading for. I'll continue looking for another workaround.

If you don't prefer upgrading to QBO Advanced, utilize an importer tool is a best option for now.

Thanks for your response, I checked with Transaction Pro Importer, and they said they're not able to help with reconciliation, it would just be importing transactions into QBO (which would be duplicates of my bank feed, as mentioned above). This discussion as helped me refine my question to this:

 

Is there a way I can reconcile my bank feed from outside of QuickBooks Online by importing receipt categorizations (e.g., Expensify, Receipt Bank, etc.) and merging those with my bank feed (instead of creating duplicates)??? I have found multiple apps that will "import" the coded transactions but it creates duplicate transactions with my bank feed and does not help me with reconciliation.

Thanks for getting back to us, @ML222.

 

Importing receipt categorization and merge it with your bank's feeds can still create duplicates. However, you can exclude the duplicate transaction so you can reconcile your accounts. Let me guide you how:

 

  1. Go to the Banking menu or Transactions menu, then select the Banking tab.
  2. Select the For Review tab.
  3. Select the checkbox of the duplicate transactions to exclude.
  4. Click Exclude.

 

Once done, these items are no longer reported as part of your business finances and will not appear in any associated account registers or reports.

Also, you can upload receipt images from your computer's hard drive, capture and send them from your mobile device, and even email images to QuickBooks. However, we're unable to import the coded transactions. I'd suggest looking for an app or choose from the apps that you've found that will fit for importing transaction.

You have to choose between running the bank feeds or using the importer tool. As an additional option, you may reconcile PayPal/Stripe/Sguare transactions easily by using this connector.
