Tracking jobs by class vs project

 

I have a new client who has been tracking construction projects by class as opposed to customer/sub or project. Do you see any issue with leaving this in place (they have over 50 projects open currently and many hundreds historically)? And is there some way to "close" a class so that it no longer appears in reports? Using a tag or making it inactive maybe? Thank you!

I want to ensure your concerns about tracking your jobs by class get sorted out. Let me assist you with your queries one at a time.

 

If you no longer want to utilize the class tracking feature in QuickBooks Online (QBO), you'll want to turn it off so it will no longer appear on your reports. I'll show you how:

 

  1. Go to the Gear icon and select Accounts and Settings.
  2. From the Advanced section, go to Categories.
  3. Then, untick the Track classes option.
  4. Click Save once done.

 

Otherwise, if you wish to deactivate a specific class, you can follow the steps below:

 

  1. Go to Settings and select All Lists.
  2. Click Classes.
  3. Choose the class you want to delete.
  4. Select the small arrow ▼ next to the Run report, then Make inactive (reduces usage).

 

Please know that even if the classes are inactive, they will still appear on the assigned transactions historically. If you want to remove the tracking for specific transactions, you can manually open each and detach the class.

Thank you for that info. I have read that there may be a 3rd party solution that can move details from classes to projects in QBO. Do you have any knowledge about that?

While QuickBooks Online (QBO) does not have a built-in tool for converting class tracking to the Projects feature, some third-party providers offer data migration services to assist with this transfer. 

 

To look for a third-party app, here's the detailed steps:

 

  1. Go to the Apps menu on the left navigation bar.
  2. Click on the Find Apps tab.
  3. Search for the app you wish to connect to in the search bar or select the Browse category dropdown to search for an app by category.
  4. Select the app you wish to download.
  5. Hit on Get App Now.
  6. Authorize the app to connect to your QBO.
  7. Follow the remaining steps to connect and set up the app settings of your choice.

 

Alternatively, you can visit our QuickBooks App Store website directly and select an app that best suits your business from the CATEGORIES section.

 

Carefully review the app descriptions and customer reviews, looking specifically for any mentions of class-to-project conversion capabilities during the migration process. You can manage all third-party app connections in the My Apps tab.

I'm happy to provide some info about converting Classes to Projects in QuickBooks Online.

 

While there are many ways to use and customize Classes and Projects, there isn't a way to convert one to the other. Classes are used to differentiate data between segments of your company such as departments or product lines. Alternatively, the Project function is used to keep track of data per job like income, expenses, labor costs, etc.

 

For more options to convert transactions, I recommend submitting feedback to the Product Development Team. This can be done directly through your QBO account by clicking the Gear icon in the top right corner, then select Feedback.

Thanks, MorganB. allyhsawtelle1 who started this topic mentioned that there might be a 3rd party app that would allow you to convert classes to projects so I was hoping to hear if he/she had any success finding one.  I was also reading tips #2 and #3 in this article I found which leads me to think it might be possible.
