Transaction Journal & Transaction History

When I got to Reports > Transaction Journal I see it is NOT grayed out yet when I select it, the report does not run. Instead, I get a warning message: “You must first highlight a transaction in a report window or edit a recorded transaction before you can run this report.” Please explain how this is supposed to work. Very confusing that it’s active and does not run. The QuickReport above it IS grayed out so I know it will not run in the current state. I am trying to run a report that will show me all the transaction for a date range. Current day, yesterday, etc.

Please advise. Thanks.

The key to using the Transaction Journal report , which creates a Journal report for the active transaction, is in the message: "You must first highlight a transaction in a report window or edit a recorded transaction before you can run this report."

 

To use the report, either open a transaction in a transaction form, like a check or invoice form, select a transaction in an account register, or select a row on a transaction detail report. Then pick the Transaction Journal option from the menu and you'll get a report that shows the details of the transaction in the style of a Journal report.

Hi there, @gijeet. Welcome to the Community, I'd be happy to assist you with your concern about reports in QuickBooks Desktop (QBDT).

 

The Transaction Journal report will only show the details after you've opened the transaction window.

 

This is what it looks like:

You can also run a Journal Report if you want to see the linked transactions such as your bill and the bill payment in one line item.

 

I'd be happy to show you the steps below:

 

  1. Go to the Reports menu and select Accountant & Taxes.
  2. Select Journal.
  3. Enter the date and utilize the customize option to get the data you prefer to show.

Thanks for responding.  I figured that out.  It was just that the choice on the menu was not grayed out so I thought I could run it without having to select a specific transaction.  It really should be grayed out until you make a selection then become active.

It's not a bad idea, but then the question would be, "why is the report option greyed out"? At least this way you can get a message that tells you what to do.

I created a sales receipts and saved it.  The amounts are not flowing to my reports.  I can bring up the sales receipt and try to run a transaction journal but the report is blank.

Allow me to help you get around this. Technically, after recording a sales receipt, it should show up under the income account.

 

I'd suggest running the Verify and Rebuild data utilities in QuickBooks Desktop can often help resolve issues that are causing receipts not to flow correctly on your reports. This process can help identify and fix data integrity issues that may be impacting the accuracy of your reports. Additionally, ensuring that the Report period covers the date of the receipt is crucial, as it ensures that the receipt transactions are included in the report.


By running these tools and verifying the report period, you can take important steps toward resolving the problem with your sales receipts.
