Transactions appearing in QuickBooks do not appear in Audit Trail

I am serving as the audit chair for a NFP organization that uses QuickBooks (desktop, not online).  The Audit Trail report provided by the treasurer does not include many transactions for May and June of 2022 (part of FY 2021 which runs from July 1, 2021 to June 30, 2022).  The report does include some transactions from early May but later ones and those in June, including deposits from May 9 through June 30, do not appear.  The report settings specify the entire FY; is there some other setting or filter that neither the treasurer or I are aware of that could cause this?  (I would note that a similar issue involving deposits in two different accounts occurred when I audited FY 2018 and I recommended at that time the issue be investigated; if it was, no evidence of a reason for the Audit Trail omissions has been provided.)  If additional information such as version, hardware used, browser info, etc., is needed please advise.

I'm here to help check why the Audit Trail report doesn't include many transactions on the data range you've selected, JMAudit.

 

The Audit Trail report has all the records about the changes made to the QuickBooks company data file. When running this report, the treasurer needs to make sure it's filtered to show all transactions.

 

There's a possibility that this report didn't include all transactions. The treasurer can filter the report and date range to show all transactions.

 

Let me show you how to do it.

 

  1. Click Reports at the top menu bar and choose Account & Taxes.
  2. Select Audit Trail.
  3. On the report screen, click Customize Report.
  4. Go to the Filter tab and search for Transaction type.
  5. Choose All and hit OK.
  6. Filter the dates, then Refresh.

The Audit Trail settings have been set as you recommended - in fact, those settings have always been in effect - but the transactions still do not appear in the Audit Trail.  Any ideas?
