Using barcode scanning for inventory

We are working on implementing barcode scanning for inventory management.  We want to be able to scan multiple items, save them into the scanner memory, then load them with one click to an invoice, estimate, or sales order.  We have a barcode scanner capable to save multiple scans and are able to load multiple items.  However, sometimes instead of listing all the items into new lines in the invoice, it will sometimes put the item number into the quantity field.  The last time I spoke with Quickbooks support they thought that the scanner was sending the scanned number too fast for Quickbooks to interpret and list.  I would like to know if there is anyone else out there that are using QuickBooks for inventory management and if they have had similar problems and how they have worked through them.  Thanks!

The ability to scan inventory directly into QuickBooks makes business life a little easier, so here are a couple of options to get you back on track.

 

As the support agent mentioned, it's possible that the scanner is moving the number too fast. Another reason for the item number showing in the quantity field could be due to formatting. Facing the same issues:

 

  1. Adding barcodes t existing inventory.  Very large items among the list that are impracticvle to lug a laptop to.  Want to scan them into a device and then do a batch (like) update to items in QB.
  2. When invoicing, a customr is in a service area, but s/he may have purchased items from the warehouse that go to the loading dock, but invoice is created in the service area.
  3. Even if the items are with the customer in the service area, the scanner is not going to be used next to a desktop but out in front of the counter.  We need to control the invoicing from the scanner (advancing to next line, adding quantity). 

A smart scanner is necessary.  Does the MC-40 do any of  that?  Does the Android phone app do it?

i have used cipher labs hand held scanners to complete inventory from the floor back to the computer hosting the point of sale system on it.. the scanner has worked fine for what it is, however it recenlty crapped out. are there other scanners recommneded for the same use or is cipher labs 8000 still the go to? thanks in advance for any help - chris

I need all the information (scanner, app, program, etc) you are using to be able to scan an item and it go directly to QB without making a pick list, purchase order, sales order etc.  Thanks!

I know your post is several years old..just wondering what solution you came up with?  Our parts to be scanned into QuickBooks Enterprise are several feet away if not across the room from the QuickBooks computer.  We are having to scan an item, go back to QB, click down to the next line on the Sales Receipt, go back and scan another item, etc.  How do we get QB to automatically go to the next line after each scan?

Hi @LAG1,

 

A scanned item will appear on the transaction as a new line item. In your case, you'll want to begin troubleshooting by updating your QuickBooks to the latest release. Let me guide you how.

 

  1. Go to Help. Then, Update QuickBooks Desktop.
  2. Click the Options tab, then select Mark All.
  3. Select Update Now tab, check the Reset Update box.
  4. Hit Get Updates.

Once done, restart your computer and try scanning an item again. I've added this article for more information about the barcode scanner.

Thanks for joining in this thread, @SELBY1. At the moment, you can only scan barcodes to fill out any of these transactions:

  • Estimates
  • Sales Orders
  • Invoices
  • Sales Receipts
  • Refunds & Credits
  • Purchase Orders
  • Item Receipts
  • Bills
  • Write Checks
  • Inventory transfers

Can you please update quick books online to scan barcodes for stock take inventory management at least also at despatch we need to scan and invoice or get to an estimate on quick books online. The reason I need this system added to QBO Online is to minimise human errors when invoicing and when returning goods from customers . 

This is very important i believe .  to minimise mistakes made by warehouse staff when  stock taking and invoicing out goods as we are in cosmetics business.

yes I have been using QBO Online from 2013 . I do have over 1000 items and already we are using item codes description and do all the invoicing and do stock take . But in cosmetic business our staff make so many human errors when entering item codes and selecting them . 

Always this has caused stock inventory discrepancies either we have more stocks in some items and less stocks in another items . 

I belive only solution is to develop QBO develop team a qbo barcode scanning system to QBO Online .

The option to scan barcodes for stock take inventory management is unavailable in QuickBooks Online (QBO). If this is something our engineers need to look into, you can submit product suggestions by following these steps:

  1. Click the Gear icon at the top. 
  2. Choose Feedback.
  3. Enter your comments or product suggestions.
  4. Then select Next to submit feedback.

 

Your valuable feedback goes to our Product Development team to help improve your experience in QuickBooks Online (QBO). You can track feature requests through the QuickBooks Online Feature Requests website. 

 

You'll want to check for a third-party application that can help you with this one. You can check out the apps that are compatible with QuickBooks at this link: https://quickbooks.intuit.com/app/apps/home/. We can also do it in QBO by following the steps below:

  1. Go to Apps on the left side menu.
  2. Search for the app in the Find apps to streamline your work field. 
  3. Look for the app that supports the Batch Invoicing feature.
