Hello there, halfandhalf55. 

 

The option to receive payments using visa gift cards is available in our QuickBooks Desktop Point of Sale for now. You can let your customer's pay their invoice through bank transfer or credit card. 

 

I'll personally send this suggestion to our Product Development team so they can integrate other ways in receiving customer payments in our future updates.

I have a corporate client that has 54 VISA gift cards left and they want to purhcase $5400 worth of merchandisg and pay us with it becuase it is expiring on March 1, 2021. Can I enter 54 gift cards in manually to pay for an invoice?

Yes, you can manually track gift certificate payments in QuickBooks Online. To get started, you can set up the GC accounts first using the steps below:

 

  1. Tap the Chart of Accounts then click New.
  2. For  the Account Type drop-down, choose Other Current Liabilities.
  3. Pick Trust Accounts - Liabilities for  the Detail Type.
  4. Enter the name of the account, example, GC Issued.
  5. Hit Save and Close.

 

Once done, create a service item for the gift certificate that we will link to the account previously created. Here's how:

 

  1. Tap the Gear icon, then choose Products and Services.
  2. Pick New and select Service.
  3. Add the name Gift Card in the Name field.
  4. In the Income account drop-down, select GC Issued.
  5. Click Save and close.

 

Now, you can create an invoice to redeem the gift certificate. Here's how:

 

  1. Tap the Plus (+) icon, then select Invoice.
  2. Find and select the customer's name.
  3. On the first line, select the Item being bought.
  4. Add the amount.
  5. On the second line, select the Gift Card (the one linking to a liability account), and enter a negative amount.
  6. Hit Save and close.
