We hear this a lot. No, you can't import your invoice template from QB desktop. No 3-rd party app will help with invoice layout designer either. Sorry!

Hey there, ERACSGracie. 

 

I appreciate you taking the time to reach out here in the Community. I'd be glad to offer some info on importing invoices.

 

One option you may consider, is a feature in QuickBooks Online called Import Style. This invoice importer allows you to bring in .DOCX files from Word. Import Style can be accessed by:

 

1. Clicking the Gear icon in the top right corner.

2. Select QuickBooks Labs, in the Your Company column.

3. Scroll down until you see Import Style, and toggle the switch to ON.

4. Click Done.

Do you know how to change an invoice from desktop to be compatible with word? I can't seem to get that to work!

Hi @ERACSGracie,

 

Currently, there isn't an option to copy an invoice template from QuickBooks Desktop to MS Word.

 

In the meantime, you have the option to search for a file converter. This way, you'll be able to convert and use your invoice template from your QuickBooks Desktop to Online.

 

In addition, you'll have to export your invoice template first, then convert it as MS Word file format. Here's how to export your invoice template:

  1. Go to Lists.
  2. Choose Templates.
  3. Select an invoice template.
  4. Click Templates.
  5. Choose Export.
  6. Select a file location where you want to save your invoice template.
  7. Click Save.

Once done, you can convert the invoice template to MS Word file format and import it so you can use it for your invoices in QuickBooks Online.

Thank you very much! I was able to locate and save the template but am having a hard time figuring out how to convert. I AM able to open in word and it shows many symbols, but will still not upload to online. Not sure it's acceptable in that format. Any tips on converting to word?

Let me help you be able to convert your invoice template successfully. 

 

First off, you're right about QuickBooks Online not importing your invoice template after copying it to MS Word. Because they have different platforms and templates doesn't have the same formats.

 

With this, you'll need to search for a converter application or software. And then, install it on your Desktop computer.

 

From there, you can convert QuickBooks Desktop invoice template and then import it to your QuickBooks Online.

You have the option to search for an integrated apps to convert your invoice template successfully.I'll be happy to assist you.

 

Since you wanted to import your invoice template to QuickBooks Online, here's how you can search an app:

  1. Go to the Apps page.
  2. Type in any keyword on the search address.
  3. Select an app of your choice.
  4. Click Get app now.

This way, you'll be able to use the integrated app and convert your invoice template successfully.

 

Or you can also go directly to the Apps center and search for an integrated app.

Deeply unimpressive - the sample I just downloaded from 

https://quickbooks.intuit.com/cas/dam/DOCUMENT/A8x7wzAge/Invoice-Template.docx

is not actually a working template, it is full of unnecessary cruft - Intuit logos & useless filled-in sample.  I'd have expected that Intuit would make getting people started a high priority. 

 

The desktop customisation was an abomination - it looked dated in 2005.  Looks like things haven't improved much.

QB has removed the feature of uploading custom format forms, without intimating to users. 

Not expected from QB. When reached to support team, they said, they don't know when will this option be restored.

I'll share details and help personalize your sales forms as well, felockv.

 

You'll want to manually customize your invoices and other sales form in QuickBooks Online. At the moment, importing sales template from the Desktop version is still not available.

 

Let me share these steps with you:

 

  1. Go to the Gear icon and select Custom Form Styles.
  2. Click New style, then choose what type of sales form you want to customize.
  3. Proceed to the Content tab add the details that you want for the transaction.
  4. Select Done.

You can explore several free invoicing apps to integrate with QBO as a workaround. But you have to use a 3rd party processor to accept payments.

Assuming we have to live with the layout options in QB online and still cannot upload our templates from Desktop, is there a way to at least customize the columns - Like add a column that is 'SIZE' or 'Unit of Measure'? 

 

Ive been able to figure out how to change the widths of the columns and which ones print but cant seem to figure out how to add a custom column (not a custom field).

QTY           DESCRIPTION                    SIZE                RATE               TOTAL

 

These are what I'm looking for my invoices and estimates to contain.
