We have a dozen budgets for various funding sources, how do I run a budget vs actual report for a specific budget? It keeps bringing back data for entire overall budget.

I had actually called support for this, and the person told me this feature does not exist in QBO?! Really?!

Hello AppleLa2!

I'm here to help you in running a budget versus an actual report.

When you run the Budget vs. Actuals report from the Reports menu, there's a filter so you can select a specific budget. You can find it below the dates drop-down. Please check this screenshot:Capture.PNG

After selecting the specific budget from the drop-down, don't forget to click the Run report button to load the correct data.

I added these links if you need to set a budget by class and how to customize reports in QuickBooks Online:

Post again here if you need more help in running reports. I'll assist you!

Yep, I've done that and I still get numbers for the overall budget. Tried it with the other budgets, same results every time.

Hi there, @AppleLa2. I'm here to provide further information about your concern.

Each budget is separate. In QuickBooks Online (QBO), every time you create a budget you can enter different amounts. When running the Budget vs. Actuals report, you'll be able to see the specific data entered on the budget you've selected. The only thing that can make each budget similar is the actuals.

To get more information about creating budgets in QBO, feel free to open this article: Create and import budgets into QuickBooks Online.

In case you'll want a user to access, create, or delete budgets, you can give them permission to do so.

I'm always in the Community if there's anything else you need about running a budget report. Don't hesitate to post again here. Keep safe.

I have a follow-up question about running this report. I am currently trying to run a 2021 Budget vs Actual Report and what I am seeing in the report is budget amounts that are from 2021 and 2021. The Actual column is right. Why is it showing two calendar years for the budgeted amount? Any help would be greatly appreciated. Jeanne

Welcome to the QuickBooks Community, @ExecDirect.

Allow me to fill you in on everything you need to know about the Budget vs. Actual report.

The budgeted amount showing in the Budget vs. Actual report depends on the filtered date range. You'll want to make sure the date of the report only covers the specific fiscal year. This way, it won't include the amount for the past or future years on your budgeted amount.

You can also review the Budget Overview report to ensure the total budgeted amount match the one shown in the Budget vs. Actual report. Here's how:

  1. Click Reports from the left menu.
  2. Search for Budget Overview report.
  3. Select the appropriate fiscal year.
  4. Review the total amount if it matches the one shown in the Budget vs. Actual report.
