What does it mean when I am updating an invoice to send it out when it says: The transaction you are editing is linked to others. Are you sure you want to modify it?

I am wondering if it is addressing the $500 prepayment made by the client.

Hello there, usermbakerassistant.

I'd be glad to help and answer your query about editing an invoice In QuickBooks Online (QBO).

Yes, you're right. One of the possible reason why you receive that alert upon trying to update an invoice (The transaction you are editing is linked to others. Are you sure you want to modify it?) is because of the prepayment.

You can open the invoice to edit and make the necessary changes from there. After that, the invoice will just show the balance due and the amount of payment made.

Like this:

  1. Go to Sales menu.
  2. Choose Invoices.
  3. Select the invoice you wanted to edit, and click the drop-down arrow under Action column.
  4. Tap on View/Edit.
  5. Make the necessary changes in the Invoice page.

Once done, you'll see the the balance due and the amount of payment at the upper right corner of the Invoice page.

I'm adding this article to help you handle customer payments: Record invoice payments in QuickBooks Online.

Let me know if you still have other questions about invoices. I'll be here to answer them. Have an awesome weekend!
