Thanks for visiting us here in the Community space, @activatecanopy. I'll help you with your concerns about invoices in the new layout using QuickBooks Online (QBO).
Regarding the total, note that with the new layout update in QuickBooks, the total will now be shown in the lower right corner along with the subtotal, discount, sales tax, and deposit. This feature is part of the latest QuickBooks improvement.
About your concern about sales tax, QuickBooks now automatically calculates the total sales tax rate for each sale based on the customer's sales tax status, the location of the sale and shipment, and the sales tax product category. If you prefer not to use automated sales tax, you can turn it off and utilize custom sales tax in QBO. About the experiencing jumping issues that you mentioned, performing browser troubleshooting may help resolve any problems you are encountering. The browser's cache can become filled, causing issues with your QBO account. However, if you mean something else, specify it by commenting below.
With regards to saving a PDF, there was a previous issue with this and now it is already resolved. Since you're still experiencing the same issue, you can reach our support team to help you with this matter.
Lastly, concerning adding a link to an invoice, you can utilize QuickBooks Payments to access a payment link. This will allow the link to be accessible to your customers, enabling your customers to pay their invoices online.
On the other hand, see this article as a guide once you receive your invoice payment from your customer: Record invoice payments in QuickBooks Online.
I'm still ready to back you up if you need more help with handling new layout invoices in QBO. I'll keep the thread open so you can comment back. Take care.
i have to ask.. DO YOU USE QUICKBOOKS ONLINE? i doubt it.
your answer didn't answer my concerns... re read my post and try again.
you added an ADD PAYMENT LINK TO PDF option.. but that is BROKEN.. it won't work on my custom template.. only the crappy default one
the TOTAL needs to be in the upper RIGHT corner.. not the lower right... if i have an order with 50 line items... why would have to scroll to the bottom to see the total?
the screen jumps because it wants to give me an error EVERY TIME i enter a new product... ya, it wants to charge tax, but what about companies that ship nationwide... that means that 95% of my orders are OUTSIDE of my state.. so i dont have to charge tax.. That means 95% of my invoices will generate this ANNOYING ERROR... holy cow it's annoying?
---> you said to turn off sales tax... I TRIED, BUT IT WON'T LET ME.. i charged tax already this year, so i can't turn off tax... so I'M STUCK WITH THIS ANNOYING ERROR... did i mention it is annoying?
i invite you to look up my account and contact me...
you guys TOTALLY BROKE something that was working perfectly...
there are other options out there.. and i'm looking!
I can see that you're more familiar with and confident when using the old invoice layout. Let me look at this and dig into this deeper, Activate.
But before we start, may I know where exactly the broken payment link in the PDF option you mean? I hope you can send a screenshot so we can double-check on that. Also, with the new invoice interface, the total amount shows on the lower part to match a professional invoice arrangement which is supposed to be after the list of products and services.
On the other hand, if you don't want to be charged for a particular product, you'll have an option to uncheck the Tax column so taxes won't be calculated for a particular item. I've added a screenshot for your guide:
However, if you still want to talk to one of our support team, you can follow the steps below outlined below:
Furthermore, QuickBooks provides different reports that cater to your business needs. Learn from this article how you can customize them to ensure you'll get the right data: Customize Reports In QuickBooks Online.
Feel free to let me know if you need further assistance with invoicing or payment links. I'm always right here if you need help.
here is the TAX issue.. and the issue with my screen "JUMPING"
i live in one state.. and when i sell to another state, LEGALLY, there is NO SALES TAX... but, since the items are marked at "TAXABLE", your system wants to give an error...
every time i add a new items, or tab to a new line (with a bundle) the screen JUMPS up to the top to show me the error that says "you are not set up to charge sales tax"... or something like that (see screen shot)
here is the issue... I KNOW I'M NOT SET UP TO CHARGE SALES TAX IN 49 STATES... i own the dang company.. *I KNOW*
BUT every invoice.. every line... every time i do anything, the screen JUMPS DOWN and shows me the error..
THE FIX: i have to Un-Tick the Tax box... but when i have a bundle that has 7 line items.. it takes about 10 seconds to Un-Tick each box.. why? because the error happens every 2 seconds... i end up SCREAMING at my compute to stop...
i tried to TURN OFF SALES TAX all together.. but your system won't let me.. why? because i charged sales tax in the past... so i can't turn it off.
I HATE THE NEW INVOICE... but i can live with it... IF YOU FIX THE TAX ERROR.
**** SCREENSHOT BELOW ****
CHECK IT OUT.. i added an item, and simply hit TAB... this error (on top) shows up... and the screen scrolls down.
so, my Products aren't on the screen.. i have to SCROLL DOWN to see them... but then it does it AGAIN and AGAIN... beyond annoying
tell me how i can fix it... or YOU FIX IT.
update... even funnier, i logged in, and now it won't let me upload the screen shot.. says i need to be logged in.. I AM
holy cow, Intuit has made me crazy.
@activatecanopy This probably won't make you feel any better, but Quickbooks has been aware of the invoice total issues, calculating tax, and "Make a Payment" button issues as early as last year when they first started rolling out the new invoice. You can even find the threads on this forum of customers complaining and being told to submit their feedback to Quickbooks. I know we did.
However, Quickbooks forged ahead and forced the new invoice layout on everyone. When you ask about the status on the tickets that customers have submitted, Quickbooks representatives will currently tell you that there are no plans to reinstate any of the features you are complaining about.
Like many of us, after a bit of research into other accounting programs your team will probably agree it's time to migrate.
*****UPDATE****
i was able to find an engineer at Intuit and i was able to have a 45min Zoom call with him...
i told him EVERYTHING that is wrong with the new Invoice...
not only did he agree, but he promised to fixed the worst issues next week.
he was VISIBLY embarrassed by some of the issues i showed him... THEY WILL BE FIXED SOON! mark my words.
