Will Project Costing Transaction page EVER BE ACCURATE in my ACCOUNTING software?

Since I am referring to my accounting software which should be accurate in reporting costs associated to or referenced by other inputs, I am wondering when the transaction page on projects will show actual transactions particular to that project.

Many have asked this. Many are having to spend extra time inputting data to get this accurate.

 

Printing or exporting that page is useless unless it is an accurate representation of that project.

 

Instead, many of us are reporting that we see:

*Total Payroll for employees instead of the 8 hours worked just on that project.

*Total Bill Value instead of the lines items designated to that project.

 

Can you at least provide some feedback as to when this will be corrected.

Thousands are over those responses to basic fixes that have been in the open queue for 3, 4, 5 years.

 

After this ridiculous reports and invoice upgrade and the fact that you are not fixing basic functionality that was either lost from desktop or during an unannounced so called improvement, you have broken the last straw for many of us.

This has been happening to us as well and I reported it and attempted to escalate it months (8+) ago to no avail.  The last I heard "it was functioning properly and as designed" and that there was "an open investigation as to why it had not functioned properly in the past".  There is no way this can be true!!  First, it WAS working correctly and then they updated something (without notice or even a "what's changed" message within the software) and now it does not work correctly, but they believe that it now works properly now, but not before.

 

QuickBooks definitely has their heads in the sand!!  The fact that we all have to make workarounds and/or constantly perform correcting entries to these transactions is completely unacceptable and is a waste of valuable time!

 

QuickBooks, will you PLEASE get your heads out of the sand and address the core functionality issues instead of trying to play with the way the interface "looks" to us?  You could have spent the valuable time you just used to revamp the menus fixing the core functionality issues instead, and we would be much happier customers.  But no!!  You don't have eyes on your customer's needs, you have your eyes in tunnelvision looking for ways to make our lives more difficult and move things around in the interface without getting any feedback from your customers as to whether this will even be beneficial.  BTW, the last one, is NOT beneficial -- it's "fluff" we didn't ask for and does not meet our needs, and the time could have been much better spent on fixing core functionality issues!!

 

Would it be possible for QB to actually address these issues instead of looking the other way, please??

Hello, I am currently at QuickBooks Connect in Las Vegas and have explained this issue to a “Head of Engineering” who never heard of this issue.

We shared contact information and he will be getting back to me on this issue.

 

I am a QBO ProAdvisor for the construction industry, so I support a number of clients and I am only having this issue in one account.

What version of QBO are you using?

How long you have had this issue?
Where are you entering payroll? Timesheets in QBO, Timesheets in “TSheets”? etc.

I realize that your community site has rules, but do you see that she is actually trying to help. She is likely posting remote from a conference and having trouble getting her post to show up.

How about work with her before assuming she is spamming?

She is trying to communicate that she has spoken to someone in engineering and that our issue might finally be addressed. Removing her comment is not acting as a helpful member "community" trying to help your customers.

@lmoCDS As I mentioned in my original post on this thread, I do understand that the motivation behind the post is to help others. Which is why I did not remove all of the posts, and I am not restricting anyone's ability to post going forward.  And while I believe that the duplicate posts could be unintentional, I also have to do my due diligence as a moderator and warn that if the duplicates were not accidental, it could lead to a ban.

I am unable to access your profile on LinkedIn, but would like to be updated on what you find.  I am one of the original posts on this issue.  In response to your questions:

 

  • We are using QuickBooks Online
  • We have been experiencing this issue for more than 1 year
  • Payroll is entered in QuickBooks payroll and then the timesheets are entered against the projects after the fact (a workaround to this issue).  If the timesheets are entered prior to running payroll, the entire payroll amount for each employee that worked each of the projects is then shown under the projects as a transaction on each and every project.... not on just one or the prorated amount that would apply to that specific project.

@sylvialamas1  That is so great that you were able to speak to someone about this.

 

It is not just on payroll. It happens on all bills as well. If you have a split bill between two projects, it shows the gross amount of entire bill on both projects.

 

Currently, there is no way to quickly export, view or print a list of all expenditures or correct line item transactions for a project. You have to create a report from scratch and it takes forever. 

 

So the project costing feature- not super great at the moment.

@lmoCDS  I was able to "fix" the problems this issue causes by creating a JE that credits the account with the project identified and then debits the same account without the project identified.  This is certainly a work-around, but in the case of the payroll costs, it works, for now.  It does not address the core issue, but "fixes" my project reports so I can at least have the correct information.  It does not affect the actual dollars nor does it affect the cost account to which everything ultimately goes, only the project identifier.  

 

It does, however, create another level of work that has to be manually performed because QBO does not handle the issue properly from the beginning.

 

@sylvialamas1 I hope you can get some traction with your interaction on this issue.  Although we received a response months ago from QBO support, nothing more was heard from them.  However, I am happy to provide more details if you need them on how we are "working around" the issue as well as what is happening when we create a timesheet against any project prior to payroll being run (in addition to my earlier response above).  The issue does not happen if we create the timesheet(s) after running payroll.  We do not use QuickBooks Time so I do not know whether the same issue happens when using it as compared to if you simply enter the timesheet for project costing purposes.

@awoodsrei  WOW- you have more time than me. LOL Kudos on the workaround, unfortunately, I do not have the amount of time it would take to create journal entries to reconcile project costs. I already spend enough time splitting all sub-contractor bills project by project for every week so the correct amount shows up. It really irks me how they market this project costing like it is so wonderful. We have to build our own reports and the reports don't even roll up if you have sub customers. It is all so manual and time consuming.

@lmoCDS Fortunately, I caught the issue early on and was able to identify what was causing the problem and then stop doing it that way so I had only 2-3 weeks of payroll transactions to fix and so it was less time consuming than what you are experiencing, by far.  I can't imagine having to do what you do to get the costs to the correct projects on an invoice by invoice basis.  Is there a way that your subs/vendors can bill you based on project so you don't have to separate them after the fact?  Certainly they have that level of detail.

 

With regards to the manual processes we have to do because of the issues that QBO creates (on our behalf, thank you very much!) is very time consuming!  I ran into another issue just last week that is a disconnect in the project reporting of labor costs that I had to find a workaround to fix after spending an hour online with an agent that kept going in circles with me and I finally disconnected and found a workaround to get the reporting corrected on my own.  I don't think that this issue will get any attention, either!

 

It seems that we keep finding new things and it is getting more and more frustrating each time we find something new that doesn't work that is not acknowledged by QBO as an issue!!

Update - It has been two plus weeks since the QuickBooks conference and issue for my client still not resolved.  I have contact emails for two individuals that I will follow-up with next week.  These are engineers, not support staff.

 

The engineer who I understand is responsible and knowledgeable on this issue has not yet reached out to me directly.

I promise I will not let them forget about us and this issue.

I have also brought this issue to the attention of our customer account manager at QuickBooks and he is going to look into it further.  Other than that, it has been "crickets" from QuickBooks on my side as well.
