Wondering if I can save a customers credit card keep it on file ?

@GlinetteC I don't think you understand my question. To do what you're suggesting to me - I still need a credit card on file for the customer.

 

The whole point for me is to NOT have the customer read off their card to me on the phone OR in-person. I want them to be able to digitally send me their credit card info through QBO that I can then store on their customer profile WITHOUT charging them. And then, once I have that credit card, I can charge them automatically each month and just send them the receipt (and not have to wait for their payment like you would if you send them an invoice).

 

So many companies do it this way - for example, your home utilities company. They will collect your credit card info upfront. And then they just charge you at the end of the month and send you the receipt (not an invoice for me to have to pay separately each month) - and the expenses are variable each month. Everything I'm reading from others in this thread seems to suggest this is not possible through QB, which is really asinine to me in the year 2023. There really should be an option on Quickbooks to send a credit card auth form digitally to collect the credit card information up-front, which can then be stored under the customer profile to be charged automatically by the seller after services are rendered for a given month.

 Ugh - I had the fear that this would likely be the only way to accommodate what I am hoping to achieve. Thanks for your response.

 

I don't understand how QB doesn't have an option for you to send an authorized form to collect a customer's credit card information only. And then that (in its encrypted form) can be saved under the customer profile within Quickbooks so that the vendor can process the charge automatically on the card each month (without having to send an invoice and chasing down payments, etc.).

Because the developers at Intuit are too busy focusing on ways they can sell you more subscription services and products and less focused on how to make the software more efficient. It's the exact reason that I've started working on alternative products to work in conjunction with QuickBooks Online and other products - to give them the features that the developers should have added in the first place, but that leadership doesn't care to back.

I understand that it's important for you to have the ability to send an authorized form to collect a customer's credit card information and easily process the charge on the card each month. Currently, this feature isn't available yet in QuickBooks Online. I suggest submitting a feature request to our product development team so they can consider adding this functionality in the next update. To do so, here's how:

 

  1.  Select the Gear icon, then choose Feedback.
  2. Enter your comments or product suggestions.
  3. Select Next to submit.

Hi! I am having a similar issue to @shroff8367 

 

Our business is a service/ labor based business - in which jobs often take a longer time to complete than the deposit amount covers..

in which case, we have authorization to charge the card on file for the balance after service is rendered.

 

I would like to be able to collect card information for future use via an invoice.

 

However, there doesn't seem to be a way to do this unless the customer checks a box on the payment page... but this requires my customer to have an intuit account.

I believe registering an account is an undue burden on my customer that none will likely complete.

 

is there a work around for this? Stripe.com does not have this restriction with it's invoices and saves CC info upon payment of an invoice.

As others have mentioned, hunting down our customers to have a phone call to exchange CC info is not only inefficient, but it's not the direction any business is moving towards.

 

I would view this as a significant weakness to QBOs invoicing platform if there is no work around.

We recognize that collecting your customers' card information for future use through invoices can help streamline your workflow. However, this feature is currently unavailable in QuickBooks Online (QBO).

 

Alternatively, you can use a third-party app to do the task. To find one, you can follow these steps:

 

  1. From the left menu, select Apps.
  2. Go to the Find apps tab.
  3. Type any keyword in the search bar or select the Browse category dropdown menu to explore different apps.

 

Moreover, you can set up Autopay for recurring invoices, so you no longer have to keep track of your customers' payment information. 

 

To help improve your experience with QBO, your valuable feedback goes directly to our product development team for review and consideration. Here's how to send it:

 

  1. Go to the Gear icon and choose Feedback.
  2. Enter your comments or suggestions.
  3. Click Next to submit.

I'll be glad to provide you with a few simple steps for generating a report on your customer's credit card expiration dates. Here's how:

 

  1. Go to Reports from the left side menu.
  2. On the search bar, type in Customer Contact List.
  3. Click Switch to classic view and then select Customize.
  4. Under Rows/Columns, click Change Columns.
  5. To add the credit card expiration dates, select the CC Expires box. 

Note: You can also select, remove, and reorder columns by dragging them according to your preferences.
