Tracking Number Field

We've followed these exact instructions to add a "Tracking Number" field to our invoice template. We manually enter the tracking number to each invoice before sending to customers. We can't seem to locate the tracking field data in any report. Specifically following the instructions using the "Sales by Customer Detail" report. We can get the filed to show up on the report but there is no data showing, even though the tracking number is on our invoice. Also wondering why the filed shows up as "Other" on the report. We've named it "Tracking Field".

I assume you used the OTHER additional HEADER for your Tracking Number field. Currently, that field can't be added to reports, so I don't recommend it if you need to show the entered data in reports.

 

A CUSTOM FIELD is a better option because it will display as a header field in transactions similar to the default OTHER header. Then, it can be added to the reports, so any information you enter in that field can be pulled up in reports as well.

 

Let's create one and name it as "Tracking Number 2" since you already used the "Tracking Number" name. You can edit them later, anyway. Then, create a dummy invoice with tracking number information for test purposes, and run a report.

 

Create a CUSTOM FIELD:

 

  1. From the Customers menu, select Customer Center.
  2. Double-click the name of any customers.
  3. Choose Additional Info.
  4. Click Define Fields.
  5. In the Label column, enter the name of the field. You can enter something like "Tracking Number 2".
  6. Put a checkmark in the Cust column so it will available to all customers.
  7. Click OK.

 

After creating the field, it can need added to the transaction templates, like how you added a field before.

 

After creating a transaction, run the Sales by Customer Detail report again and add the Tracking Number 2 column, as shown below.

 

 

You can edit the name of the fields later on. Rename the original "Tracking Number" field name first, and then remove number 2 in the "Tracking Number 2" field name located in the customer's Additional Info section.

 

About your question on why the report shows OTHER instead of the defined field name, the answer is the report uses the source field/label name instead of the define name.

We are surprised that QB has yet to configure a way to export the tracking number in Excel comma delimited format, as this is as important as most other fields. Ecommerce website software has been doing this from the beginning. Do you know if adding the ability to export tracking numbers is in the works?

However and as mentioned above, you can go to the Help icon in QuickBooks Desktop and choose Send Feedback Online, then select Product Suggestions.
