Using Enterprise QBDT 19. What causes this problem? ...> recnum 995 -- This memorized report must be deleted.

I had a previously memorized report for our Employee Medical Insurance pulling from our Medical Payroll Liabilities Account.  We just started a new Policy Year on 07/01/2021 (meaning new rates and changes).  Yesterday I modified the above mentioned Report to also include our Dental & Vision Liabilities Account and changed the Report Name then saved it as a NEW report.  The dates were set to 07/01/2021-07/31/2021 when it was memorized, it had no data in it yet because I had not yet synced QB Time to create our first Payroll in July.  Prior to syncing QB Time I ran a Verify Data which reported 2 errors, 1 of which is shown below:

I need to know what causes this issue so I can prevent adding additional time running rebuilds on our Data File.  Please advise should you require additional information.  QB wants to delete quite a few memorized reports, therefore I would like to prevent the issues it is having problems with!  Thanks in advance.

Hello there,

 

I appreciate you for reaching out to us here in the Community. I understand the importance of knowing the root cause of the problem and how to prevent it from happening in the QuickBooks Desktop.

 

It will help avoid future issues in the product that will affect your time running the business. I'm here to share some information about the error code related to the report.

 

When you memorized a report, the system adds a new file to your QuickBooks folder. You usually encounter this error if the memorized report is damaged.

 

The error also happens when you upgrade from an older version of QuickBooks. When performing the process, the program is unable to find the targeted folders.

 

There are steps you can perform to prevent issues from happening again. I recommend you start by updating the software to the latest release.

 

By keeping the program up-to-date, we'll be able to ensure you always have the latest features and fixes. Here's how:

 

  1. Click the Help tab at the top menu and select Update QuickBooks Desktop.
  2. Go to the Update Now tab.
  3. Put a checkmark to all applicable updates.
  4. Add a checkmark on the box beside Reset Update.
  5. Select Get UpdatesDownload and install automatic QuickBooks Desktop updates
  6. Restart QuickBooks.
  7. When prompted, accept the option to install the new release.

 

Once done, let's re-sort the Memorized Reports list to fix any odd behavior. Here are the steps:

 

  1. From the Reports menu, select Memorized Reports, then choose Memorized Reports List.
  2.  Go to Memorized Reports, then select Re-sort List.
  3. Select OK when you get the prompt "Are you sure you want to return this list to its original order?"

 

Since you've already scanned for errors using the Verify Data tool, please proceed with using the Rebuild Data option. It self-resolved any common data issues QuickBooks finds.

 

Please follow these steps:

 

  1. Click the File tab at the top menu bar.
  2. Hover your cursor to Utilities.
  3. Select Rebuild Data.


If the problem persists, please follow the remaining troubleshooting on this page (we recommend you follow the solutions in the order shown, continue with step 3 QBWin.log file): A memorized report does not open or opens a different report.

No, that simply doesn't happen.  Memorized reports are 100% contained within the QuickBooks Company File, the QBW file.

Unfortunately what you're seeing is the result of a longstanding QuickBooks bug.  While Verify will detect it, and Rebuild will 'fix' it by removing the report, it isn't well known (or known at all?) what triggers the issue.

 

At this point, the best thing to do is just re-create the report and hope it doesn't happen again.
