Vendor Payments by Job Report

I use QuickBooks Desktop Contractor's Edition. I need a report that shows vendor payments totaled by customer job for specific period of time.  I've tried many types of reports and can't seem to pull in both vendor and customer job information.  Does anyone know a way to pull this report?

Vendor Payments by Job Report

Welcome to the Community, @lmoody. I've got you the steps on how to run the report that you need.

 

Let's pull up the Vendor Expenses by Customer: Job report and set the date to show the details on that specific period. Here's how: 

 

  1. Go to the Reports menu. 
  2. Select Custom Reports, then Transaction Detail.
  3. In the Display tab:
    1. Set the appropriate date range.
    2. In the Columns section, put a checkmark beside Source Name to add it to your columns and uncheck the Name to remove it from the list.
    3. Select the Total By drop-down arrow, then select Customer.
  4. Go to the Filters tab, then select Transaction Type from the Filter List.
  5. Select the transaction type associated with the vendor purchases such as bills, then click OK to display the report.

Vendor Payments by Job Report

Thanks for your response, however, this doesn't give me the information that I want.  This just shows me invoices by project but can't pull in paid status or paid date.

 

We are a contractor and I track vendor payments by customer projects for cash flow purposes.  I may have the same vendor working on multiple projects.  I am looking for a report will show me which vendor invoices were paid for each customer's jobs within a specific time period. 

 

For example:

Paid Dates: 04.01.20 - 04.30.20

Customer Job A

   Vendor 1 - Ref Num 5653  - Amount $100 - Paid 04.03.20 - Check # 1050

   Vendor 2 - Ref Num 75161 - Amount $500 - Paid 04.03.20 - Check #1051

Customer Job B

   Vendor 2 - Ref Num 5657 - Amount $250 - Paid 04.08.20 - Check #1056

   Vendor 3 - Ref Num 12457 - Amount $600 - Paid 04.10.20 - Check #1064

Ect....

Thanks for getting back to us and giving some examples, @lmoody.

 

At this time, there isn't an option to run and customize a report based on your example given. However, you can customize the Transaction Detail report and have a closer result.

 

Here's how:

 

  1. Run the Transaction Detail report.
  2. Click the Customize button in the report.
  3. In the Modify Report window, go to the Display tab and customize the date range from 04/01/2020 to 04/30/2020.
  4. In the Columns section, put checkmarks only to these following:
  • Type
  • Num
  • Amount
  • Paid
  • Paid Date

     5. Select Customer from the Total by drop-down.

     6. Click OK.1.PNG

 

Once done, the report will show you which invoices were paid for each job. However, the Paid Date column will not show any data, but you can consider opening the transaction on at a time to check when it was paid.2.PNG

Does anyone know how to run a vendor payments by job?  It gives me checks, paychecks but not payments to vendors

Thanks for following up on this thread. Allow me to share some information about running a report with the vendor payments by job. 

 

You can run a Job Cost Detail report in QuickBooks Desktop, and here's how: 

  1. Go to the Reports menu. 
  2. Choose the Job Cost Detail report.

Vendor Payments by Job Report

I am having the same problem I had I was even on the phone for hour with QuickBooks.  A customer is asking me for proof of payments on all his job costs invoices from the vendors which would be categorized as bill payments. I can I have tried everything and when I even try transaction type is bill payments it comes up blank. QuickBooks please address this issue

Hello there, @NitaS.

 

Usually, this error occurs when your data is damaged or corrupted. We can try to run the Verify/Rebuild tool to identify any data issues within your company file. Then, the Rebuild tool will self-resolve it.

 

Here's how:

 

1. Go to the File menu, then hover over Utilities.

2. Select Rebuild Data.

3. On the QuickBooks Information window, select OK. Follow the onscreen steps to save a backup.

4. Let the tool repair your file.

5. When the tool finishes, select OK.

6. Go to the File menu, and then hover over Utilities.

7. Select Verify Data.

8. Let the tool check your file for data issues.

 

If QuickBooks doesn't find any problems, select OK. However, if QuickBooks finds an issue with your company file, click Rebuild Now.

 

Moreover, make sure QuickBooks has its latest release. This is to ensure that everything is up to date.

Vendor Payments by Job Report

I want to See: Bill Payments totaled by Customer. 

 

When I run the custom transaction detail report. Select total by Customer. Then,  go to Filter, and Filter Transaction Type to: Bill Payments. the report comes out BLANK.

 

When I run custom Transaction detail report. Add Source Name to the column list. Total by Total Only. Then, go to filter, and filter Transaction type to: Bill Payments. I get a report full of Bill Payments. but the name and source name are both the Vendor Name. So, i go back to customize report, go to Filters, and Filter Name to: Customer:Job1.... guess what happens? BLANK REPORT.

So I am guessing this still has not been addressed I am having the same issue. Need a report total invoiced and paid to vendor per job (ie Sub Customer) and cannot get it no matter what I try.

Unfortunately none of these provide the data requested.  This should be a STANDARD report. Anyone doing prevailing wage work, for example, is required to report to Federal, State or City authorities the payments to each subcontractor for a given job on a monthly basis. We should be able to pull that up quickly -- I am very versed in QB Desktop Contractor Edition, yet there is absolutely no single report we can create (customize) to do this. They get close, but do not provide full data. Having to click through on each transaction to pull up the Paid Date is ludicrous.  Given that QB has the actual transaction data, including payment date (since it shows u on the actual bill as PAID with transaction date in the right column), it seems that there should logically be the ability for the "Paid Date" field to be populated. Also, I should be able to filter transaction data by individual Customer:Job but the Filters do not give us that option, I have to run a report for ALL customers. That's also ridiculous.  Perhaps the reports team can put this on their list of requests.
