I am the Primary Admin. How do I view customized reports that other users created and saved?

Viewing Reports

Hi there, @clong5. I've got your back, and I'll help you navigate the reports created by other users inside your QuickBooks Online (QBO) company file.

To access the reports members of your company created inside your QBO account, You'll want to go to the Reports tab. I'll input the steps below so you can proceed. To begin, here's how:

  1. Access your QuickBooks Online company.
  2. On the left navigational bar, go to the Reports tab.
  3. Go to the Custom Reports section.
  4. Double click the report that you want to access.

In case you don't see the customized reports created by other users inside your company, possible that they didn't save the customization for that specific report. In QuickBooks, we have this feature called Memorize report. It allows you to preserve the current customization settings of the report and access it anytime you need.

See this article for more information about Memorizing a report in QBO: Memorize reports in QuickBooks Online.

Additionally, I've got you this article to learn more about user roles and access rights in QBO: User roles, Access rights in QuickBooks Online.

You can also check this page about usage limits in QBO: Learn about usage limits in QuickBooks Online.

Should you need further assistance accessing customized reports in QuickBooks? Or do you need help performing specific admin tasks in QuickBooks? Feel free to post them here in the Community. I'll gladly help you out again. Take care, and have a great week!

Viewing Reports

I followed your instructions, but only can see my own customized reports not the ones from the other users. Do I need to create a group to share all reports?

Viewing Reports

Hi there, clong5.

I appreciate you for coming back to the thread after following the steps shared by my peer. I'll ensure to discuss extra information on how customized reports work in QuickBooks. Then, route you to the right person to assist you further on this matter so you can continue running your business and get back on track.

As mentioned above, if you didn't see the customized reports created by other users, it might be they didn't save or share with the customization report. To verify this one, you can reach out to your users and ask for some verification about the custom report they've made.

If the issue persists, I recommend contacting our QuickBooks Support Team. They have the tools to pull up your account which is needed in investigating the cause of the issue.

Here's how to contact them:

  1. Open your QuickBooks Account.
  2. At the top right, click the Help icon.
  3. Choose the Assistant section.
  4. Type your concern in the Type something field.
  5. Click Talk to a human.
  6. Click I still need a human.
  7. Click the Get help from a human.
  8. You'll be routed into the How can we help? page. Then, select how you want to contact them and fill in the information.

You can browse this article to learn more about the different types of support we offer at Intuit and its availability: Support hours and types.

On the other hand, creating a group to share all reports on your end isn't necessary to achieve your goal. This is because adding a group to share all reports only allows your users to view your created custom report.

Lastly, you may refer to this article to see steps on how you can find, run, export to excel, and edit/delete a memorized report: Memorize reports in QuickBooks Online.

Don't hesitate to click the Reply button below if you need further assistance with any customization report concerns. I'm always here to help, clong5. Have a great day, clong5.
