We reunded a customer for their overpayment via check. Now their account has a credit balance, but should be 0.00. How do we apply the refund to the account balance?

You can record a refund to your customer using Check or Expense to offsets your customer's open credit or overpayment.

Before we start, may I know the category you've used when creating the check?

 

If you've selected the Accounts Receivable account, then you're one step closer in fixing your concern. Recording a refund using this account will create a positive amount to your customer's balance.

To offset the amount, you have to link the refund to the customer's credit or overpayment. Here's how:

 

  1. Click the + New icon and select Receive payment.
  2. Choose the same customer you used for the check or expense when recording the refund.
  3. Fill out the other fields as you see fit.
  4. Under the Outstanding Transaction section, select the checkbox for the Check you created when recording the refund.
  5. Make sure the payment is equal to the open balance, then click Save and close.

 

In case you're using a different method to record the overpayment, I'd recommend deleting the check. Then, follow the steps in this article to record the refund for your customer: How to refund a customer's overpayment in QuickBooks Online.

 

In addition, you can use the Advanced Search function to easily locate your transactions. This way, it would be quick and easy for you to find them.

 

Moreover, there are several financial reports you can run to track your sales income in QuickBooks. They will show you helpful insights on the things you buy and sell, and the status of your inventory.
