Where can I find a report that lets me print all transactions sorted by Class in QB Premier Plus Edition 2021?

We are currently using QB Premier Plus Edition 2021. We're a home leasing company. For tracking purposes, I have each address as its own class, and each GL expense has a sub-expense for the house. For instance, the main GL account would be Repairs and Maintenance, then under than, I'd have an entry for each house's address. I would enter the expense, then choose the class that was the house's address.

 

I've just learned that not all transactions have the option of posting it to a Class. I just ran the Profit and Loss by Class report, and all of the expenses did not appear on the report or the totals. After doing some research, I found that some of the transactions don't have the Class field listed, and it's not a field you can choose to show on the screen. I need to be able to trace all the expenses for each house which is why I chose to use Class. Is there a report that allows that? Is there a way to make sure that there is a Class field on each type of transaction?

 

To note: since we're a leasing company, we're not using the purchase order option. Our expenses are non-inventory. They're all miscellaneous expenses.

Hello @Tiv,

 

Let's pull up and customize your other reports listing the transactions you need which you haven't posted a class with. Let me show you how.

  1. Go to Reports.
  2. Under Accountant & Taxes, select Transaction List By Date.
  3. Select Customize Report.
  4. On the REPORT DATE RANGE section, select the appropriate dates of your transactions.
  5. Below the COLUMNS section, make sure to put a checkmark on the Class selection.
  6. Click OK.

Once done, you can go ahead and export your report so you can start printing the list of your transactions. To export, you can check this article for the steps: How to easily export reports to Excel from QuickBooks Desktop?

Hi there, @Tiv.

 

You can pull up the Transaction Detail report. This report normally shows all transactions by class. 

 

However, you can't pull up the totals by class using this report but you export the report Excel, so you can add and make changes to it. Just follow the steps below:

 

Here's how to pull up the report:

 

  1. Go to the Reports menu.
  2. Highlight Custom Reports.
  3. Select Transaction Detail report.
  4. Tap the Customize Report button and filter the necessary details.
  5. Hit OK when done.

 

Then, we can now export the report to excel. I'll guide you how:

 

  1. Click the Excel drop-down menu.
  2. Select Create New Worksheet.
  3. Select the Advanced button.
  4. Check or uncheck the boxes under Excel Options to remove or add those features.
  5. Click OK, then Export.

It helps, but it still doesn't list every transaction. There are a few transactions that won't let me post them to a class, but they didn't print out on the Transaction Report.

Point #5 is the above instructions is not an option. There is no "Class" in the Columns section.

 

How do you pull up a report that shows transactions by date and class?

I'll make sure you're able to pull up the class report you need in QuickBooks Desktop (QBDT), @Suzanne181.

 

You're already on the right track in pulling up the report that'll show transactions by date and class. You'll have to search Class in the Columns section to view the said option. Please access the Transaction List By Date report again from the Reports menu's Accountant & Taxes section. Then refer to the screenshot below for your reference in executing point #5 above.

Hello there, @Suzanne181.

 

The steps provided above by my colleagues are for QuickBooks Desktop (QBDT).

 

In QuickBooks Online (QBO), we have the Purchases by Class Detail which shows all your purchases grouped by class and Sales by Class Detail that shows your transactions grouped by class. 

 

To run the report, here's how:

  1. In the left menu, click Reports
  2. In the Search field, type in Purchases by Class Detail/Sales by Class Detail.
  3. Set the Report period
  4. In the Rows/columns section, choose Group by Class.
  5. Click Run report.
