Why can't already created Estimate/Invoice be put into a new Project? When you create an estimate you do not know if your client is going to sign up with you.

Why create a Project if you don't need one? That's why it's called an estimate and not an Invoice. So you don't want to create a Project till after the client has signed the Invoice/contract and then you would create/make the "Project."  Right?  First, our team of designers, has limited access to quickbooks because they are not admin. They can only make Client information, Estimates and Invoices. How are they able to make Projects before if they don't have access to that?  How am I ,admin, supposed to know when Estimates are being created to make these Projects beforehand? Why is there not a notification element to let admin know when new clients and or estimates/Invoices are being made? If you want to continue to not allow Projects to be input existing Estimates/Invoices. The Projects should allow for existing Estimates and Invoices to be placed in the Projects you create/select.   It would make things a whole lot easier and better. Thank you for reading. Allow me to fill you in on everything you need to know about the project feature in QuickBooks Online (QBO).

 

You'll be able to move the existing estimates or invoices to your new project. To do so, you can simply change the associated customer to your project name. Here's how:

 

  1. Find and open the existing invoice or estimate.
  2. In the Customer drop-down, select the new project.
  3. Click Save and close.

 

After the steps, you can go to your new project and check the invoice or estimate transactions from there.

 

On the other hand, there isn't an option to notify you once your users made an invoice or estimate in QBO. As an alternative, you can consider running the Audit Log report to check if your users created the transactions. Let me guide you how.

 

  1. In your QBO account, click the Gear icon.
  2. Select Audit Log.
  3. Use the fields on the Filter panel to choose the appropriate UserDate, or Events filter to narrow the results.
  4. Click Apply.
  5. From there, review the transactions made.

Thank you for your response about existing estimates and invoices going into a new project. I have tired this method and the following happens:

invoice and all information get completely erased and I either A) have to re-write the entire thing. B) don't save.

Even if you try and save the estimate into the new project because the estimate and invoice are link. So the invoice automatically erases. So you save the estimate in the project but when you try to save the invoice it will erase. Trust me I have tired a million times. Doesn't work!

Second part you answered Audit log. I don't know dates, client names, or anything so this was not helpful what so ever. Please let me know if you would like to answer the question of how to put existing estimate and Invoice into a new project without it erasing completely and starting over?

You can only copy an estimate to an invoice to the same customer. That's why when you select a new customer or a project, the data will be erased. You'll have to enter the same details again. For example, the estimate is for customer A but you copied it to an invoice for customer B.

 

However, if you're trying to copy an estimate to the same customer and this kind of issue arises, you can try troubleshooting your browser. There are times that the browser stores frequently accessed data, thus causing websites, like QuickBooks Online to perform unexpectedly. Let's try logging in to your account using a private. Here's how:   

 

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Safari: Command + Option + P

Once logged in, go back and try to copy an estimate to an invoice and then save your entry again to double-check. If this works, it means that you need to clear the browser's cache so the system can start fresh. If you get the same result while using a private browser, I recommend switching to a different one.

I have been a QB customer using Desktop for more than 24 years.

This process doesn't work! The way it should work is as follows:

1. Create an estimate with the estimate name appended to the customer name.

2. Wait until the Customer accepts the estimate.

3. Create a Project using the Estimate and the appended name.

4. Invoice(s) is created for the completed work.

Now in QB Online the only way to associate an Estimate with a Project is:

1. Create a Project

2. Create an Estimate from within the Project.

Using that process would end up with hundreds of Projects that were never awarded or that are dormant for years.

I have spent hours going through the Support blog and watching videos. None of the information helps.

I'm about ready to fire my CPA that talked me into paying for this junk and find another product to use.

Is there another way...I tried this and it's not working. I'm trying to add an estimate to a project but I did the estimate first.

The only way I found to do it is to make a copy of the estimate. Within the copy of the original estimate you can now change it with the drop down menu to be associated to the project.
