Check company settings>automation, you might have it set to automatically apply credits

Let's get this sorted out. There could be multiple reasons why your invoices might be showing up as paid.

  • Another user of the account may be adding the payments to the invoices.
  • If you have a Payments account, then you could be sending that invoice to the customer by pressing Save and Send rather than Save and Close. Note: When sending an invoice to a customer there is a link to pay the invoice if you have a Payments account.

Let's check the Audit Log to see if someone made the changes themselves within the QuickBooks account.

  1. Go to the Gear icon in the top right-hand corner.
  2. Under "Tools," select Audit Log.
  3. Here you'll see all the changes that have been made in the account. Note: You can also filter the changes to get around and locate them.
