SUMMER SAVINGS 90% OFF QuickBooks for 3 months* Ends June 27
Buy nowOur last closing date was December 2021. When I try and perform the merge of a customers accounts I get prompted for our closing date passowrd, but the only charges in the customers account are from May 2022. Why would I be prompted to enter a closing date password for transactions that occurred after the closing date?
It's probably not very smart about that. If you try to merge to made up customers with no data, are you asked for the password?
One account has transactions from June and the other has transactions from May. Both accounts have transactions from 2022. I shouldn't need to key a password as our last close date was Dec 2021. I don't understand why it is prompting that request.
Let me share some information about your closing date password, @Angela333.
The accounts you need to merge may have previous transactions. It's the reason why QuickBooks asks you for the closing date password.
You can check the customer's account and look if it has previous transactions. If so, you can add the closing date password to pass by the prompt.
I've added this link in case you want to change your closing date password: Set or change a closing date and closing date password.

The transactions that exist were not done before the last closing date. Meaning the closing date was 2021 and the charges are in 2022.
I am trying to understand why it is asking me for that password when the transactions that exist were posted after the closing date. Closing date was 12/31/21 and the charges in both accounts are from May 2022 and June 2022. Neither of which are before that closing date. So, why would QB ask me for the closing date password when the charges were not befreo the closing date?
Hello @Angela333,
Thank you for taking the time to get back to us regarding your concern. Allow me to chime in and help you figure out why this is happening on your end when merging customers in QuickBooks Desktop.
It usually happens when there are existing transactions from the prior year aside from the ones in 2022. You can perform some troubleshooting steps to isolate and fix the issue.
Before you begin, update QuickBooks Desktop to the latest release. Aside from improving the performance of the software, this process also fixes common and complicated errors instantly.
Please follow these steps:
Next, I recommend running a report to verify the transactions. You can use the Transaction List by Customer report. Here's how:
You should be able to see the entire transactions of both customers. If there are no other data from the prior year, you can proceed with re-sorting the list in QuickBooks. It fixes odd behaviors on your name list.
I've included a link you can visit to keep track of your sales and expenses using predefined customer, job, and sales reports. You can customize reports to focus on the information that matters most to your business. Here's the link: Customize customer, job, and sales reports in QuickBooks Desktop.

I know for certain there are no prior year transactions for this customer, they are new as of 2022. Therefore, the only charges this customers account has are in 2022; as they did not even exist in 2021.
Thanks for getting back to us, Angela333.
I see that you're very sure that there are no prior transactions created for that particular customer. QuickBooks only asks the closing date password when there are affected accounts/transactions prior to the closing date.
It could be that another user entered or modified the transaction date. We can isolate this case by generating the Audit Trail report. Here's how:
Another way is to pull up the Transaction Detail report and set it to all dates. This way, you can view all the existing transactions.
If you need someone to help you review your account in prompt manner, you can also reach out to our Support Team. They can pull up your account in a secure environment and help you check if there are any changes made from your customer's transactions. To contact them, go to the Help menu and select QuickBooks Desktop Help. Then, Contact us.
Make sure you correct the transactions/date (if necessary). To assist you in designing a report in QuickBooks and to find related links for your upcoming tasks, you can read the following articles:

@SarahannC RE: It could be that another user entered or modified the transaction date, which causes the system to ask you for the closing date password.
No, another user's change won't cause the message the OP saw when merging customers. It won't cause the OP to see any messages at all, which would only appear for the other user making the change.
