I switched my payroll tax settings from automated to off of being automated, but Quickbooks is still showing that they plan on automatically filling the w'2s this year. It seems I changed the setting too late and now quickbooks is still thinking it's in charge of doing this. I can see the w2's employee version but it says draft only. Does anyone know how to change that so quickbooks allows me to be the one to send out the real copy of the employee w2's?
The draft-only watermark on the W-2 forms signifies that the forms will be automatically filed by the system, Mady. I am here to assist you with your question regarding this matter.
Can you also let us know when the Auto File feature was deactivated? Please note that changes to this service don't take effect immediately. Instead, they become active on the first day of the month following the request.
Given that the settings were adjusted before the specified period, the system will proceed to submit any unpaid taxes and file the necessary tax forms before the date when the new settings take effect.
Please note that when the W2 forms are filed by Intuit, we'll send the W-2s to your employees' mailing addresses via USPS between January 16 and January 31. This ensures that they will receive a copy of the actual forms, even though they are filed by Intuit.
The ability to print the forms without the watermark will also become available starting January 15. Here's an article that talks about this for more details: Understand the timing for your W-2s.
Alternatively, you can invite your employees to view and print their W-2 copies from QuickBooks Workforce after your W-2s have been filed.

@Mady You may already be aware of this, but depending on the # of employees you have, it may not be a good idea to try to handle your W-2s for 2024 by, judging by your language, mailing them out.
Anybody with 10 or more employees has to file them electronically, and while there are several avenues for that, the ones you can register for personally tend to take longer than a month to finish the registration, especially this time of year.
