California Sales Tax Filing versus QBO Sales Tax Liability Report

The standard QBO Sales Tax Liability Report only has four columns, 1. Gross Sales, 2. Non-Taxable Sales (which includes all Labor plus the Materials which are sold to exempt customers for resale), 3. Taxable Sales (Material to Non-exempt customers) and finally 4. the Tax amount.

However, the Online form that you have to fill out for the tax agency is also asking for a break-down between labor and materials - which is not possible to calculate from the above.  Please advise a way to customize a report in QBO to break down Labor and Material for both tax exempt and taxable customers.  Better yet, why is Intuit not automating sales tax submittals to the CDTFA?  We have been waiting for at least 3 years since automated sales tax calculations were rolled out in QBO and at the time there was a lot of talk about automation coming soon.  Thanks!

The Sales Tax Liability Report does not provide the specific breakdown between labor and materials for tax-exempt and taxable customers, which is what you need. 

 

To include this level of detail in a customized report in QBO, you can explore the advanced reporting features or utilize a third-party reporting tool that integrates with QBO. Another option to consider is manually exporting the report to Excel and manually calculating the data from there.

 

Since you have been waiting for automated sales tax submittals for several years now, I still suggest sending send feedback directly to our engineers regarding the current state of sales tax reporting in QuickBooks Online (QBO) and the lack of automation for sales tax submittals to the California Department of Tax and Fee Administration (CDTFA).

 

Go to the Gear icon and select Feedback to let them know how the ability to customize the QBO Sales Tax Liability Report for a detailed breakdown of labor and materials for both tax-exempt and taxable customers benefits you.

Thanks for your reply SarahannC - I am sure it gives you no pleasure to acknowledge that there is no good solution here.  I went to the third party advanced reporting tool link and there is no quick and fast solution there either.  All we are trying to do is to get the quarterly sales tax filed (which using the Sales Tax Liability Report in the Desktop version of QB and in QBO up until a recent change where they screwed it up) used to take 5 minutes.  Similarly, exporting to Excel and doing it manually when you have many transactions is just not feasible especially considering that we would still need to customize the Taxable Sales report to be able to have the figures in Excel and the way that report is formatted does not lend itself to easy row/column manipulation.  So all in all, here we are, probably tens of thousands of CA customers who are trying to use QBO for sales tax, I pay over $400 per month for the QBO license I have - and the answer I basically get is to pound sand.  Zero feasible solution.  It is embarrassing to Intuit and Quickbooks, absolutely unacceptable.  At the same time, barely a day goes by and we are getting dashboard "improvements" that are pushing ancillary revenue generators (for Intuit) such as HR Services, Accounting services, Loans, factoring receivables etc) anything to get us to pay more fees and money for features far less important.  And the basics are being neglected.  Why not force your management to find a solution to this simple and long overdue problem?  May I remind your management group that you are in the business to help your customers do their books and address their needs by putting effort into it and coming up with practical solutions...  and when you do not do that (like Quickbooks has not done for years) people are going to abandon the platform - as painful as it is to do so.

Well said, I am dealing with the same BS. We switched from Desktop enterprise to Online and I regret it!! I have had to file for an extension with the state because the calculations are so screwed up.

I'm in the same boat and tearing my hair out over here. This was a simple report on QB Desktop, and now I can't figure how to accurately enter my sales tax info with CA, TX and NY.  Most state sales tax agencies need to see the total sales for their state as well as taxable sales.  It's a simple request . And should be a simple report to pull up.  Now that we've switch to QBO I feel it's too late to go back. But I'm really regretting making the switch.  Curious if you ever found a solution to this problem? I came here to see who else was having this problem...which many are... but what's the solution?
