Is there a way to turn off the sales tax "based on location" feature? It is causing conflicts with our 3rd party accounting software.

1000% agree with you ImoCDS.

Worst customer service on the planet, made worse because they have the trappings of good service - polite people. But they don't solve the problem, ever, just wasting our time.

I'm seeking an alternative accounting software - needs to be cloud based, invoicing and inventory, not as expensive as Oracle. Suggestions?

Well I see that there is a new feature on the customer profile....

You can now set the sales tax to your custom sales tax setting, which would be awesome

IF IT ACTUALLY WORKED!! I can set in the customer profile but it does not carry over to the

customers invoices, WHAT GOOD IS THAT??????????????????????????????????????

None of it works for me, I have sales in two states and several counties so I have to have it based on location but even when I manually change it it will now save on some. There is no specific reason and sometimes it will save if i re enter the invoice but the next time that dont work. QB online has a lot to be desired

For sales tax purposes, the state that has the right to tax the sale is the state where delivery occurs. The seller should collect the tax for the state where the property is delivered to the customer.

HOW DO WE DO THIS without having to change the tax manually for every invoice for customers with a different sales tax rate than our business address?

Hi Jacque,

To be able to use the Sales Tax Based on Location feature, make sure you add the delivery address in the Shipping to box on the left-hand side, under the billing address box. If you do not, add the address there, the Location of Sale address on the right-hand side takes precedence in calculating the Sales tax.

Also, make sure the sales tax rate is selected to Based on location.

I hope this solves your problem.

After beating my head against the wall attempting to fix QBO I found a handy section in my CRM software that allows the ship to location to sync.

This does not turn off the based by location but allows you to assign a SHIP TO location to each site and assign that Ship To within the ticket/agreement/invoice upon creation.

I am aware it is possible not all syncing software packages have these options, but if you have a ticketing software that allows you to select a Ship To site and Sync it in, you may have found a way to have your taxes correct again in QuickBooks.

Good luck friends.  I realize those with clients all over the place are not going to want to select a different "site", especially contractors, but that's all I've got.

For those like me who simply missed this step (who knows if it was even available at the start of this process?!!?)

Make sure you have SHIP TO correctly filled in.

Make sure you have selected the option to allow it to sync.

Have a splendid day.

Do you have a separate ticketing system and sync into QBO?  Check that your CRM/invoicing system allows you to sync the SHIP TO address from tickets/agreements/Invoices and make sure that option is turned on.

Also, make sure you have the SHIP TO section filled out, not just the BILL TO section.

Good Luck

I don't understand why QuickBooks Help is not recommending that people check their third party software for options to sync the SHIP TO address but I'm trying to post it everywhere....

Note: Connectwise/WiseSync DOES allow us to sync the Ship To address if you select the correct options.  I have no idea if this was available when QBO first "updated" but it was there today, because someone somewhere figured out this was crazy.

Good luck all.

I understand your situation and your desire to have the functionality to turn off the based-on location feature while calculating sales tax for invoices, Lisa.

As of now, this feature is still unavailable in QuickBooks Online (QBO). As a workaround, I recommend manually creating a custom rate and using it to calculate the sales tax while creating your invoices.

I also encourage you to send a feature request to our Product Development Team. We regularly review customer requests and consider them when prioritizing product enhancements. Follow these steps to submit your ideas:

  1. Sign in to your company.
  2. Click the Gear icon, then choose Feedback.

What BS!!!  All these posts and QB still has not addressed this issue!  I am a doctor's office and must manually change the tax in every single one of my 100+ items by going into each and every item to mark it non-taxable?  No batch feature-  this sucks big time! (as does QB's AI generated responses here!)

This is another spot where Intuit thinks they know our businesses and our clients’ businesses better than we do. In Desktop, the practitioner and the business managers have many more places where we can make choices that we feel are best. Online options are so locked down and only they can, when they choose, make behind the scenes overrides. Payroll is another place this is true. This needs to be fixed. Now. Not maybe in the future. Now. Most service based companies in Missouri are fighting this.

Its not the tax agency that needs to be turned off, its the tax rate "based on location" but that does not show up in the tax rate section to turn off?

Thanks for joining the discussion, MRP123. I acknowledge your interest in disabling the location-based tax rate feature. Allow me to provide details on why you're not seeing a toggle to turn this off.

In QuickBooks Online (QBO), there is a workaround to create a custom rate and use it in calculating sales tax while making invoices. However, the option to completely turn off a specific location-based tax rate is currently unavailable. Here's how:

  1. Go to Taxes and choose Sales Tax.
  2. Select the Sales Tax Settings button.
  3. In the Custom Rates area, tap Add Rate.
  4. Fill in the required fields.
  5. Hit Save.

Then, use this when you generate invoices. I'll share the steps below:

  1. Go to +New and pick Invoices.
  2. Complete all the essential details.
  3. Under the Select Tax Rate section, click the dropdown. Then, pick the rate you created.

If you have additional questions about managing sales tax in QBO, please don't hesitate to reach out. I'm here to make sure you can navigate these functionalities effectively and maintain precise financial records for your business.

I'm not sure QBO could be any less helpful on this issue. Every single answer they give as a "work around" or a "solution" is 0% helpful, it NEVER applies to the issue so many of us users are having. I cannot fathom why giving us the option to disable Based on Location is so challenging.

I mean this genuinely, only mildly facetious - it would be less frustrating if the QBO team just responded with "thoughts & prayers", rather than condescending explanations and more manual "workarounds".

We have been doing manual workarounds for over a year, since this was implemented.  It's a lot of unnecessary work, and it's disappointing that QBO has made no improvement to this process.

I understand that "QBO aims to automatically apply the accurate tax rate based on location to ensure compliance with local tax regulations"..... but it does not apply the accurate tax rate, and definitely not based on location.

It is frustrating to hear "I'm here to make sure you can navigate these functionalities effectively and maintain precise financial records for your business", when QBO has the ineffective function, and it's literally causing imprecise financial records for your Customers.

I hope someday, QBO can look into possible improvements to this function - or, at a minimum, allow us to turn off the feature, until it functions more effectively.

Has anyone found a solution to use the tax rate defined in the customer's 'Additional info' ? If not, what is that field for? I would love to be able to turn off anything to do with automated sales tax and just use that rate for each customer. Location based sales tax will not work for us. I'm currently seeing the best course of action being using the API to manually grab the rate defined in the customer's additional info, hand calculate the tax line, and push it along to each invoice. This seems a bit silly though because the desktop version did all of this for us.
