Sales Tax Record Payment

Hello, Our state only does the filing for sales tax every quarter, but pre-payments are required monthly. I am on automatic sales tax system in QBO, but don't see a place to record the pre-payment for monthly sales tax (currently grayed out until Quarter is over)

 

Can you point me in the right direction?

I can guide you through the steps on how to record sales tax payments, CarsMetrics.

 

Using the Automated Sales Tax, there are a few steps to take for you to file sales tax returns and record your tax payments.

  1. Review what you owe
  2. Decide how you want to file
  3. File and pay your return
  4. Check your filing status.
     

Moreover, you need to file your returns first, then manually record the tax payment. Let me show you how:

 

  1. Go to Taxes, then sales tax.
  2. Find the return you just filed, then select View return.
  3. If you paid an older return, select the From ▼ drop-down and choose a past month, then Refresh.
  4. To record your tax payment, Select a filing method, then choose File manually.
  5. Add these payment details:
    • Tax amount
    • Payment date
    • Bank account
  6. Click Record payment.
  7. Your return is now marked as paid, select Back to sales tax center.

Hello!

 

Is there any way to record sales tax payment before doing the sales tax return?

 

It sits in my "Banking" section for 1, 2 months if I can't post a pre-payment.

Allow me to step into this thread to fix your concern about sales taxes and have you get back to business.

 

Here's how:

  1. Select Taxes, then choose Sales Tax.
  2. Hit View return.
  3. Select+ Add an adjustment.
  4. Under Reason, choose Prepayments.
  5. Choose an account, then enter the amount.
  6. Pick Add, then click Select filing method.
  7. Choose the filing method.
  8. Select the Payment date and Bank account, then click Record payment.

Once done, you can match, otherwise exclude the bank transaction.

You can record your sales tax payment as a journal entry to enter it before doing the return.
 

Here's how:

  1. In your left navigation bar, use the + New button.
  2. Click Journal entry.
  3. Fill in the necessary fields.
  4. Select Save and close.


To confirm this is the best way to enter your transaction, I'd recommend working with an accounting professional. If you're in need of one, there's an awesome tool on our website called Find an Accountant. Here's how it works:

  1. Go to our Find an Accountant page.
  2. In the Find an expert in section, choose what you're looking for, then use your search field to enter a City or ZIP code.
  3. Select Search.

Sales Tax Record Payment

I submitted feedback and you should too. Here was mine:

The state of CA is requiring us to make monthly "estimated" sales tax payments, but our filing requirements continue to be quarterly.

 

QBO with auto taxes turned on does not allow for proper recording of sales tax prepayments. The suggested work-around to record such a payment is to add an adjustment. However, when adding a "pre-payment" adjustment, the only accounts types allowed are expenses. For some reason, this actually increases the tax liability. When adding a "prior pre-payment adjustment" one is able to choose between an expense account and an income account. You are able to then record the payment as "income" and then from the bank feed, categorize your payment to the same income account to zero it back out.

 

Ideally, one should be able to add a sales tax payment on an open period. Somewhat less ideally, one should at least be allowed to choose a bank account from the "pre-payment adjustment" which should result in a decreased liability on the sales tax account and a "sales tax adjustment" transaction which can be matched from the bank account.
