Payroll information is not included when migrating data from QuickBooks Desktop (QBDT) to QuickBooks Online (QBO). There are only certain types of details we can bring over. Here are the following:
- Bank Data
- Customers
- Vendors
- Chart of Accounts
- Products and Services
- Invoices
If you haven't run payroll in QBO yet, you will have to enter the prior payroll information manually. It will ensure that your payroll tax history is accurately reflected in the program.
Here's how:
- Go to the Payroll menu, and then select Overview.
- Add all employees paid this year, including those who no longer work for you, in Tell us about your team task. Set up each pay item, deduction, contribution, and tax shown on their pay stubs or reports.
- Next, to Add your payroll history, select Start.

If you have already paychecks created, you can contact our payroll specialist. They have tools to help you add historical data from the current pay stub.
- Go to the (?) Help icon.
- Select Talk to a Human.
- Enter a short description of your concern.
- Click on I still need a human.
- Tap Contact Us to connect with our live support.
- Choose to Get a callback.
Furthermore, you can still access the file in QBDT even if the subscription has ended. You can print the W-2 form from there. But you'll be unable to continue receiving the security updates and online services, Payroll Services, Live Support, Online Backup, and Online Banking.

Additionally, you can run your payroll reports to have a quick view of the transactions that you've created.
