I'll help you prepare your excel sheets for Journal Entries before importing to QuickBooks Desktop.
Make sure your Excel sheet contains columns for Account Number, Debit, Credit, Memo, and any other relevant information. Ensure that the data is organized correctly.
Please note the following limitations when importing and exporting data using IIF files in QuickBooks:
- There is a limit to the number of list entries that can be imported. For more information, refer to the documentation on the maximum number of list entries.
- Importing IIF files does not automatically link transactions. After the import, you will still need to manually link transactions such as invoices and invoice payments. To link transactions, navigate to the Receive Payments or Pay Bills window. Alternatively, you can explore third-party apps that offer import and linking capabilities.
- When importing assembly items, it is not possible to import data into the item's custom fields. Keep this in mind when working with assembly items and their associated custom fields.
- Price levels that are set up on a per-item basis cannot be exported or imported using IIF files. This limitation should be considered when managing price levels in QuickBooks.
- IIF files can only be used to export payroll data from Core, Premium, and Elite Standalone Payroll. Ensure that you are using the appropriate payroll version for your export needs.
- It is not possible to import or export IIF files between different country versions of QuickBooks. For example, you cannot import an IIF file from the US version of QuickBooks into the Canadian version.
- When creating an IIF import file, Microsoft Excel does not allow entering numbers with leading zeros. As a workaround, you can format the column cells as Custom to retain the leading zeros.
